Forever Home Senior Care is currently seeking an organized, compassionate, and professional Client Services & Administrative Assistant to join our growing team.
As one of the first points of contact for our clients, families, caregivers, and community partners, this role plays an important part in ensuring our office runs smoothly and our team receives the support they need to continue providing exceptional care.

Position Overview
The Client Services & Administrative Assistant provides front-line administrative and communication support to our office team while working closely with our Client Care & Operations Supervisor.
Responsibilities include answering incoming calls and messages, assisting with staffing coverage efforts, supporting office administration, and ensuring inquiries and concerns are directed to the appropriate team member.
This role is ideal for someone who is organized, proactive, compassionate, and enjoys supporting both people and processes.
Location & Schedule
· This position is primarily remote/work-from-home; however, applicants must reside in Airdrie, Alberta and be available to attend occasional in-person team meetings, training sessions, and company events.
· Monday to Friday, approximately 7:30AM-1:30PM or 8:00AM-2:00PM.
· This position is currently scheduled as a 6-hour daily shift with opportunity for additional hours and future growth as the company continues to expand.
· Rotating weekend coverage is required; however, weekend schedules may vary and may include longer shifts depending on operational needs.
· Additional hours may be available based on operational needs, staffing requirements, and company growth.
Responsibilities IncludeClient & Staff Communication
· Answer incoming office calls and direct inquiries appropriately.
· Respond to incoming text messages and general office communications.
· Monitor voicemail and ensure messages are addressed promptly.
· Serve as a welcoming and professional first point of contact for clients, families, caregivers, referral partners, and community members.
· Escalate client or staff concerns to the appropriate team member when required.
· Ensure urgent matters are communicated promptly to the appropriate person.
Scheduling Support
· Assist with finding coverage for open shifts and call-outs.
· Contact available caregivers regarding shift opportunities.
· Communicate schedule changes and updates to staff as required.
· Support day-to-day scheduling communications and coordination.
· Assist with maintaining continuity of care whenever possible.
Administrative Support
· Assist with maintaining electronic client and staff files.
· Monitor and organize office email communications.
· Assist with data entry and record maintenance.
· Prepare documents, forms, and correspondence as required.
· Track outstanding administrative items and follow-up tasks.
· Support various office projects and initiatives as needed.
· Assist with maintaining accurate office records and documentation.
Office Support
· Help maintain an organized and efficient office environment.
· Assist with office supply inventory and ordering.
· Provide administrative support to the leadership team as required.
· Support ongoing improvements to office processes and systems.
Qualifications
· Certificate or diploma in Office Administration, Business Administration, Medical Office Assistant (MOA), Administrative Professional Studies, or a related field required.
· Previous experience in an administrative, reception, home care office assistant, home care coordination, or similar office support role is preferred.
· Experience in healthcare, home care, medical office, or senior care settings is considered an asset.
· Excellent verbal and written communication skills.
· Professional phone etiquette and strong interpersonal skills.
· Strong organizational skills and attention to detail.
· Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
· Experience working in a fast-paced environment where priorities can change quickly is considered an asset.
· Strong problem-solving skills and initiative.
· Proficiency with Microsoft Office, Google Workspace, and general computer systems.
· Experience with scheduling or office management software is considered an asset.
· Experience with ShiftCare or similar scheduling software is considered an asset.
Requirements
· Demonstrated ability to work independently, manage competing priorities, and remain productive in a remote/work-from-home environment with minimal supervision.
· Ability to exercise sound judgment and recognize when issues require escalation to the appropriate team member.
· Ability to remain calm, professional, and solution-focused in time-sensitive or high-pressure situations.
· Ability to adapt to changing priorities and operational needs in a fast-paced home care environment.
· Successful candidates must be comfortable with occasional schedule flexibility to assist with urgent staffing needs or time-sensitive situations inherent to the home care industry.
· Reliable internet connection and a suitable home workspace free from excessive distractions.
· Ability to attend occasional in-person team meetings, training sessions, and company events.
· Valid driver's licence and reliable transportation.
· Ability to maintain confidentiality and professionalism at all times.
· Ability to collaborate effectively as part of a team while working independently.
· Successful completion of a satisfactory Criminal Record Check and Vulnerable Sector Check is required as a condition of employment.
· Must be legally eligible to work in Canada.
Compensation & What We Offer
· $18.00-$21.00 per hour, based on experience, education, and qualifications.
