Aspire Care Clinic is a growing medical and cosmetic clinic committed to providing exceptional patient care and outstanding customer service. We are looking for a friendly, organized, and detail-oriented Patient Services Coordinator to join our team.
This position combines referral coordination, call center responsibilities, and medical reception. As one of the first points of contact for our patients, you will play an important role in creating a positive patient experience while supporting our physicians, nurses, and cosmetic team.
Key Responsibilities
- Answer incoming phone calls professionally, courteously, and compassionately.
- Schedule, confirm, reschedule, and cancel medical and cosmetic appointments.
- Process and coordinate medical referrals accurately and efficiently.
- Register new patients and maintain accurate electronic medical records (EMR).
- Respond to patient inquiries by phone, email, text, and online messages.
- Coordinate communication between patients, physicians, nurse practitioners, nurses, medical aestheticians, and other team members.
- Verify patient information, insurance, and billing details when required.
- Maintain patient confidentiality and accurate documentation.
- Support front desk operations and provide exceptional customer service.
- Complete administrative and clerical duties as assigned.
Qualifications & Skills
- Previous experience in a medical clinic, medical office, customer service, call center, or reception role is preferred.
- Medical Office Assistant (MOA) graduates and Medical Aesthetician graduates or candidates with a medical aesthetics background are encouraged to apply.
- Excellent computer skills with the ability to quickly learn new software and Electronic Medical Record (EMR) systems.
- Proficient in Microsoft Outlook, Word, Excel, and comfortable working with multiple computer programs simultaneously.
- Strong reading comprehension with the ability to accurately understand physician notes, referrals, policies, and medical documentation.
- Excellent verbal and written communication skills with a professional and courteous telephone manner.
- Outstanding customer service skills with a caring, patient-focused attitude.
- Strong organizational skills, attention to detail, and accuracy.
- Excellent multitasking, time management, and problem-solving skills.
- Accurate typing and data entry skills.
- Ability to work independently while collaborating effectively as part of a team.
- Professional, dependable, adaptable, and committed to maintaining patient confidentiality.
