Job title: Assistant Wedding and Event Coordinator
Job Type: Permanent Part-Time
Position Summary
The Events Coordinator supports the planning, coordination, and execution of weddings, corporate retreats, fishing groups, meetings, special events, and activities at Fraser River Lodge.
Working with the Events Manager, and lead coordinator, this role is responsible for ensuring exceptional guest experiences through strong organization, communication, attention to detail, and operational support.
Events Coordinators are cross-trained across all business lines and provide support wherever needed based on departmental priorities and seasonal demands.
Key Responsibilities
Event Coordination & Planning
· Support the planning and coordination of weddings, corporate retreats, fishing groups, meetings, special events, and activities.
· Communicate professionally and promptly with clients throughout the planning process.
· Assist with event timelines, rooming lists, activity schedules, transportation logistics, and event details.
· Coordinate vendor communication and event requirements.
· Maintain accurate event records and ensure information is communicated internally to all departments.
· Conduct venue tours and assist with sales conversations as required.
Client Relations
· Deliver exceptional customer service before, during, and after events.
· Respond to client inquiries in a timely and professional manner.
· Participate in planning meetings and client consultations.
· Support clients in navigating packages, event logistics, and planning requirements.
· Help ensure guest expectations are met and exceeded throughout the event experience.
Administrative Support
· Prepare contracts, proposals, event orders, event files, and booking documentation.
· Maintain accurate records within company systems and databases.
· Assist with invoicing, deposits, payment tracking, and event administration.
· Support post-event follow-up and guest feedback collection.
· Utilize Microsoft 365 tools, including Outlook, Word, Excel, and Forms, to manage event workflows and communication.
Event Execution
· Assist with on-site event setup, coordination, and execution.
· Serve as a point of contact for clients, vendors, and guests during events as assigned.
· Support wedding rehearsals, ceremonies, receptions, corporate programs, fishing groups, and special events.
· Monitor event timelines and proactively resolve issues to ensure smooth execution.
· Ensure event spaces are properly prepared and guest-ready.
Team Collaboration
· Work collaboratively with Housekeeping, Culinary, Maintenance, Accommodations, Fishing Operations, and other departments.
· Support fellow coordinators and assist across all business lines as required.
· Participate in team meetings, training sessions, and departmental planning initiatives.
· Contribute to continuous improvement of systems, processes, and guest experiences.

Qualifications & Experience
· Previous experience in hospitality, tourism, events, weddings, customer service, or administration is preferred.
· Strong organizational and time-management skills.
· Excellent written and verbal communication abilities.
· Experience using Microsoft Office and Microsoft 365 applications.
· Ability to manage multiple projects simultaneously.
· Valid Driver's License.
· First Aid certification is considered an asset.
· Serving and bar experience is considered an asset.
· Experience with booking systems, CRM software, or event management software is considered an asset.
Position Details
· Part-time position.
· Schedule varies based on business demands.
· Evening, weekend, and holiday availability required during weddings, events, and peak seasons.
· Combination of office-based coordination and on-site event execution.
Additional duties as required. Management reserves the right to modify responsibilities as needed.
