Remote Client Support & Administrative Assistant
Home Photos Group is a real estate media company serving clients across Saskatoon, Regina, and Calgary. We provide photography, video, drone, floor plans, virtual staging, and social media content for real estate professionals.
We are looking for a dependable, organized person to answer client calls, manage the team's calendars and shared inboxes, follow up on invoices, and help keep a busy daily workflow on track. This is a fully remote, work-from-home position.
The role
This is a fast-paced phone and administrative support role. You will spend much of the day helping clients, managing bookings, checking messages, and making sure important follow-ups are completed.
The right person is calm and friendly on the phone, comfortable switching between tasks, and willing to take responsibility for getting things done. You do not need real estate or photography experience. We will teach you our services and software.
What you will do
- Answer incoming client calls and return missed calls during your scheduled daytime shift.
- Help clients with booking questions, availability, services, order changes, delivery questions, and basic invoice questions.
- Manage booking calendars for the entire photography team, including new appointments, rescheduling, cancellations, and schedule changes.
- Monitor the company's shared email and text inboxes, respond to routine messages, and make sure time-sensitive issues are handled or passed to the right person.
- Follow up with clients about unpaid and overdue invoices by phone, email, and text; record each contact and keep the follow-up list current.
- Monitor daily software dashboards and work queues so bookings, deliveries, invoices, and client requests do not get missed.
- Update client, booking, and job notes accurately.
- Communicate schedule changes or client information to team members when needed.
- Complete general administrative work such as updating spreadsheets, organizing information, and checking that records are complete.
- Help document simple, repeatable processes as the role develops.
- Learn and use our booking, calendar, email, invoicing, cloud-storage, and business-phone software.
- Handle private client, business, and payment information carefully.

- The team calendar stays accurate when bookings or availability change.
- Overdue-invoice follow-ups are completed and recorded when assigned.

You may be a great fit if you
- Are comfortable answering the phone and speaking with clients throughout your shift.
- Have strong spoken and written English. Clear phone communication is essential to this role.

- Can move between phone calls, calendars, email, texts, invoices, and software without losing track of details.
- Take responsibility, follow through, and ask when something is unclear.
- Use good judgment and know when to solve a problem and when to escalate it.
- Are comfortable receiving direct feedback and learning new systems.
- Can work independently from home and remain responsive during scheduled hours.
- Have a quiet, professional workspace and reliable high-speed internet.
- Are legally entitled to work in Canada.
Experience in customer service, reception, administration, dispatch, hospitality, retail, or another fast-paced environment is helpful but not required. One year of related experience is an asset. We care more about reliability, phone manner, judgment, and follow-through.
What this role is not
This is not a traditional corporate executive-assistant job. There are almost no meetings, agendas, minutes, presentations, or travel planning.
It is also not a passive call-answering job. When a client contacts us, you may need to check the schedule, update a booking, send a message, record the outcome, or follow the issue until it is resolved.
This role will not suit someone who avoids phone calls, becomes overwhelmed by changing priorities, or needs every next step fully mapped out.
Schedule and optional evening work
The core position is approximately 37.5 hours per week, Monday to Friday during daytime business hours.
The successful candidate may also be offered an optional paid evening text-coverage add-on. This involves checking the shared business text inbox at two scheduled times on assigned evenings and responding to routine messages. It does not involve answering evening phone calls. Full details and additional compensation will be discussed before an offer is accepted. Declining this optional add-on will not affect consideration for the core position.
