The College of Physicians and Surgeons of Saskatchewan (CPSS) is looking for a Coordinator, Registration Services to join our Registration Services team.
The Opportunity
Reporting to the Supervisor, Registration Services, the Coordinator, Registration Services plays a key role in supporting the licensing and registration of physicians seeking to practice medicine in Saskatchewan. This position coordinates a variety of administrative and operational processes, including managing complex files, verifying documentation and credentials, responding to inquiries, and supporting registration-related programs.
As a member of the Registration Services team, you will work closely with physicians, health system partners, educational institutions and internal stakeholders to help ensure applications are processed efficiently, accurately and in accordance with regulatory requirements.
This role is ideal for a highly organized and detail-oriented administrative professional who enjoys managing multiple priorities, working with complex information, and providing exceptional service in a professional and collaborative environment.
Success in this position requires strong organizational skills, sound judgment, adaptability, excellent communication skills, and the ability to maintain accuracy while managing high volumes of information and competing deadlines.
Key Responsibilities
- Serve as a primary point of contact for applicants, physicians and external stakeholders by providing information and obtaining documentation required to support registration and licensure processes.
- Access various external data sources to assist with verifying credentials of Saskatchewan applicants and to gather background registration information to support registration decision.
- Prepare and distribute documentation and forms related to registration, licensing, medical corporations, practice assessments and supervision, and Certificates of Professional Conduct.
- Coordinate administrative processes related to pre-licensure assessments, summative assessments and practice supervision programs for eligible members, including collating assessment and practice supervision reports for final review.
- Manage registration files and related correspondence, ensuring inquiries are addressed, documentation is collected and records are maintained accurately, completely and in accordance with established procedures.
- Prepare correspondence, presentations, agendas and documents in support of Registration Services activities.
- Prepare and submit invoices, process payments, issue receipts in consultation with Finance.
- Contribute to the continuous improvement of Registration Services processes by maintaining templates, tracking information and supporting operational efficiencies within the department.
- Develop and maintain effective working relationships with co-workers and stakeholders to support a collaborative and service-oriented culture.
- Provide backup coverage to CPSS main office reception, as required.
What you have
Education/Experience
- A minimum of one-year Vocational/Technical/Business School diploma from a recognized institution
- 3 years of relevant work experience as an administrative assistant or in an administrative role in a professional environment
- An equivalent combination of education and experience may also be considered
Knowledge/Skills
- Proven ability to handle confidential and sensitive information with professionalism and discretion while complying with Health Information Protection Act (HIPA).
- Excellent organizational, time management and prioritization skills, with the ability to manage multiple competing priorities and adapt to changing demands.
- Strong attention to detail, with the ability to accurately process and organize large volumes of information and data.
- Demonstrated sound judgement, critical thinking and problem-solving skills, including the ability to identify issues and escalate complex matters appropriately.
- Experience using records management systems, databases, file management platforms and email management systems.
- Advanced proficiency with Microsoft Office applications, including Word, Outlook and PowerPoint, and intermediate proficiency with Excel and other spreadsheet/database applications.
- Strong customer service and interpersonal skills, with the ability to communicate professionally, courteously and effectively with a diverse range of internal and external stakeholders.
- Excellent communication skills, both verbal and written in English, including proofreading and editing.
- Demonstrated ability to work independently while contributing positively to a collaborative team environment.
