HBI Office Plus is seeking a creative, organized, and detail-oriented Marketing Coordinator to support our sales, tender, event, and marketing initiatives.
This position will coordinate HBI’s marketing activity across digital, social, event, and sales channels while helping develop strategies for key vertical markets. The Marketing Coordinator will also play an important role in preparing professional tender submissions and supporting major business-development opportunities.
The successful candidate will be a strong writer and project coordinator who can manage multiple deadlines, work collaboratively across departments, and turn business objectives into clear, professional marketing campaigns and materials.
Key Areas of Responsibility
Marketing Strategy and Coordination
- Help develop and execute HBI’s annual marketing plan.
- Coordinate marketing initiatives with Sales, Inside Sales, Furniture, Purchasing, Operations, and external marketing partners.
- Maintain a marketing calendar covering campaigns, events, sponsorships, product launches, internal communications, and important business dates.
- Ensure HBI’s brand, messaging, and visual identity are used consistently across all channels.
- Coordinate marketing projects from concept through execution, including timelines, approvals, content, and final delivery.
- Track campaign activity and provide reporting on results, engagement, leads, and opportunities.
Digital Marketing and Social Media
- Plan, create, schedule, and coordinate content for HBI’s social media channels.
- Develop digital campaigns that promote HBI’s products, services, people, projects, community involvement, and customer success stories.
- Work with internal subject-matter experts and external partners to gather photos, project details, and supporting content.
- Maintain and update website content, landing pages, digital promotions, and online business information.
- Coordinate email marketing campaigns for customers, prospects, events, and targeted market segments.
- Monitor digital engagement and recommend improvements based on campaign performance.
- Support the creation and management of a digital content library, including photography, videos, logos, testimonials, and completed-project information.
Vertical-Market Strategy
- Work with Sales leadership to develop targeted marketing strategies for key verticals, including government, education, healthcare, commercial, construction, and other priority markets.
- Research market trends, upcoming opportunities, customer needs, competitors, and industry developments.
- Develop campaigns, presentations, case studies, and sales tools tailored to specific industries and customer groups.
- Help identify target organizations and coordinate focused outreach campaigns with the sales team.
- Support the tracking of campaign activity, sales opportunities, and results within each priority vertical.
- Help ensure HBI’s complete offering—including office supplies, furniture, facility solutions, technology, design, delivery, and installation—is effectively represented.
Tender and Proposal Coordination
- Review public and private tender opportunities to identify requirements, deadlines, risks, and responsibilities.
- Coordinate tender kickoff meetings and establish clear timelines, assigned responsibilities, and submission requirements.
- Write, edit, format, and assemble professional tender responses, proposals, presentations, and supporting documentation.
- Work with Sales, Purchasing, Finance, Operations, Design, and vendor partners to collect accurate information.
- Maintain standard company content, project examples, team biographies, certifications, policies, and supporting documents for future submissions.
- Ensure all mandatory requirements, forms, signatures, attachments, and submission instructions are completed accurately and on time.
- Support pricing coordination and the collection of vendor quotations or special pricing agreements when required.
- Maintain a calendar of tender closing dates, renewals, reporting requirements, and contract milestones.
- Organize completed submissions and identify opportunities to improve future responses.
Event Management
- Plan and coordinate HBI trade shows, customer-appreciation events, showroom events, product demonstrations, educational sessions, and community initiatives.
- Develop event plans, budgets, timelines, invitations, promotional materials, and internal responsibilities.
- Coordinate vendors, venues, catering, signage, displays, presentations, and event-day logistics.
- Manage invitations, registrations, RSVPs, attendee communications, and post-event follow-up.
- Work with the sales team to identify priority guests and turn event participation into meaningful follow-up opportunities.
- Review event results, attendance, costs, customer feedback, and potential sales opportunities.
- Support internal events, including town halls, employee celebrations, and company meetings.
Marketing and Sales Collateral
- Create and update product flyers, brochures, presentations, event invitations, case studies, lookbooks, sponsorship materials, and sales-support documents.
- Develop customer-facing materials that clearly communicate HBI’s capabilities and value.
- Assist with photography, project profiles, staff biographies, company presentations, and customer success stories.
- Coordinate branded materials, promotional products, vehicle graphics, signage, and sponsorship logos.
- Support document formatting, file conversion, image preparation, and presentation development.
- Maintain organized and current marketing templates and brand assets.
Internal and External Communication
- Gather information from teams across HBI and turn it into clear, engaging content.
- Support internal communications related to company initiatives, events, employee recognition, and organizational updates.
- Coordinate with manufacturers and vendor partners on campaigns, product launches, events, and available marketing resources.
- Help maintain productive relationships with external marketing, print, photography, signage, and event partners.
- Ensure marketing and tender commitments are communicated clearly and completed by the appropriate teams.
Skills and Qualifications
- Post-secondary education in marketing, communications, business, public relations, or a related field is preferred.
- Experience in marketing coordination, proposal writing, communications, event planning, or project management.
- Strong writing, editing, proofreading, and document-formatting skills.
- Excellent organization and the ability to manage multiple projects and firm deadlines.
- Experience coordinating social media, email, and digital marketing campaigns.
- Strong working knowledge of Microsoft Office, particularly Word, PowerPoint, Excel, Outlook, and Teams.
- Experience with Adobe Creative Cloud, Canva, email-marketing platforms, website content management, or social scheduling tools is an asset.
- Experience preparing tenders, RFPs, RFQs, proposals, or grant applications is a strong asset.
- Comfortable working with sales teams, operational departments, vendors, and external partners.
- Strong attention to detail and a commitment to producing accurate, professional work.
- Able to work independently while remaining collaborative, responsive, and accountable to the broader team.
- Experience in office products, commercial interiors, construction, education, healthcare, government procurement, or business-to-business sales would be an asset.
