About DCAC
Disability Claims Advocacy Clinic Inc. (DCAC) helps Canadians who are applying for or appealing the denial of Canada Pension Plan disability benefits. We are a small, experienced, client-centered team based just outside Regina, Saskatchewan.
Our work involves sensitive medical, vocational, financial, and personal information. We are looking for experienced administrative professionals who can help manage files accurately, communicate with compassion, and support strong advocacy outcomes.
Position Summary
DCAC is hiring two Medical/Disability Administration Coordinators to support our disability claims advocacy work. This role is administrative and case-file focused. You will help gather, organize, track, and follow up on medical and claim-related information so files can move forward efficiently and accurately.
This role is well suited to someone with hands-on experience in medical administration, disability claims administration, insurance claims support, health records, benefits administration, social benefits intake, or case management administration.
What You Will DoMedical, Disability, and Case File Administration
· Request, receive, organize, and track medical and claim-related documents
· Review files to identify missing medical, vocational, employment, or personal information
· Prepare, update, and maintain accurate file notes, forms, correspondence, and task lists
· Support advocates with CPP Disability applications, denials, reconsiderations, and appeal-related preparation
· Ensure documents are saved, named, and organized correctly in the case management system
Client and Third-Party Communication
· Communicate professionally with clients, medical offices, clinics, government departments, and other third parties
· Follow up on missing documents, outstanding forms, deadlines, and next steps
· Explain administrative steps in clear, plain language while staying within the role boundaries
· Handle sensitive conversations with empathy, patience, and professionalism
Workflow and Deadline Support
· Track deadlines, reminders, and file progress in a busy case-based environment
· Prioritize urgent requests and keep multiple files moving at the same time
· Flag missing information, inconsistencies, or urgent issues to the appropriate team member
· Protect confidentiality and maintain accurate records at all times
Minimum Required Qualifications
· At least two years of direct experience in medical office administration, disability claims administration, insurance or benefits claims administration, health records, case management administration, social benefits administration, or a closely related role
· Experience handling confidential medical, health, disability, insurance, legal, or benefits records
· Ability to understand, organize, and track medical and claim-related documents
· Strong written communication skills, including accurate notes and professional correspondence
· Excellent attention to detail and ability to identify missing or inconsistent information
· Strong organization and follow-through in a high-volume file environment
· Comfort communicating with vulnerable clients and external offices by phone and email
· Strong Microsoft Office skills and accurate typing/data entry skills
· Ability to work full-time in person at the DCAC office just outside Regina
· Ability to provide a clean criminal record check if requested
Relevant Experience That Meets the Requirement
· Medical office assistant, medical receptionist, specialist clinic administrator, medical secretary, or health records clerk
· Disability claims administrator, LTD/STD claims administrator, WCB/WorkSafe claims support, insurance benefits administrator, or claims payment support
· Case management assistant, social services intake worker, government benefits administrator, legal assistant in injury/disability/benefits matters, or similar case-file role
· Administrative roles involving confidential medical records, forms, deadlines, and regular communication with clients and third parties
Experience That Will Not Be Sufficient On Its Own
· General customer service with no medical, disability, claims, benefits, health records, or case-file administration experience
· General office administration with no confidential medical, claims, or case management files
· Retail, food service, hospitality, or call centre experience unless paired with the required medical, disability, claims, benefits, or case administration background
· Direct care or caregiving experience without administrative file management, documentation, or records experience
Preferred Qualifications
· Medical terminology certificate or equivalent medical administrative training
· Experience with CPP Disability, long-term disability, short-term disability, WCB/WorkSafe, social assistance, EI sickness, disability tax credit, or other benefit programs
· Experience working with vulnerable populations, people with disabilities, mental health-related matters, or chronic illness
· Experience with case management systems, CRM systems, or electronic medical/records systems
· Multilingual ability

· Files are accurate, organized, current, and easy for the advocacy team to use
· Missing information is identified early and followed up on promptly
· Clients feel respected, informed, and supported through the administrative process
· Medical and claims information is handled carefully and confidentially
· Deadlines are tracked and multiple files continue moving forward
· Written notes and correspondence are clear, complete, and professional
