Administrator – Part Time
POSITION OVERVIEW
We are currently seeking an Administrator who is organized, detail-oriented, and committed to keeping the office running smoothly behind the scenes. This role is for a dependable professional who takes ownership of administrative processes, maintains accurate records, and wants to grow within a structured, performance-driven team environment.
The Administrator plays a key role in supporting accounts, documentation, scheduling, and communication between management, staff, and external partners, helping ensure the business operates efficiently and professionally.

We are Red Deer's leading heavy-duty truck and trailer repair shop. We provide comprehensive heavy-duty truck and trailer repair services, including CVIP inspections, full equipment maintenance, major overhauls, performance tuning, and mobile repair services.

- Office records, files, and documentation are accurate, organized, and easy to find
- Administrative tasks are completed on time without items falling through the cracks
- Communication between management, staff, vendors, and customers stays clear and professional
- Deadlines for invoicing, reporting, and compliance documentation are consistently met
- Management can rely on accurate information to make timely decisions
PERFORMANCE OBJECTIVES
- Support day-to-day administrative operations, including data entry and document management
- Assist with accounts receivable and accounts payable tasks
- Maintain accurate employee, customer, and vendor records in company systems
- Prepare correspondence, reports, and documentation as required by management
- Coordinate scheduling, meetings, and communication across departments
- Support HR-related administrative tasks, including onboarding documentation
- Monitor and order office supplies, ensuring the front office runs smoothly
- Assist with compliance documentation, including QC and regulatory paperwork
- Maintain confidentiality of sensitive business, employee, and customer information
- Participate in team meetings, take meeting minutes, and support follow-through on administrative priorities
- Perform additional duties as assigned

EDUCATION AND EXPERIENCE
- High school diploma or equivalent required
- 2+ years of administrative, office, or related experience preferred
- Experience with Microsoft Word, Microsoft Excel, and email communication required
- Experience with Fullbay, Sage, or similar business management software an asset
- Experience in a shop, trades, or service-industry setting an asset
- Relevant training or certifications in office administration or business an asset

PHYSICAL REQUIREMENTS
- Ability to work in a fast-paced office environment
- Comfortable sitting and working at a computer for extended periods
- Ability to maintain focus and professionalism during high-volume, high-pressure situations
- Frequent computer, phone, and digital communication use throughout the day
- Occasional movement throughout the shop and office during the day
