Job Overview
We are seeking a highly organized and detail-oriented Part-Time Administrative & Governance Coordinator to support our organizational operations. The position provides administrative, governance, communications, compliance, insurance administration, and organizational support to the Executive Director, Board of Directors, committees, and member schools.
This role serves as the primary coordinator for meetings, communications, records management, insurance administration, and organizational operations.
Key Responsibilities
Governance Support
- Coordinate Board, committee, principal, and staff meetings
- Prepare agendas in consultation with leadership
- Prepare meeting packages and supporting materials
- Record and distribute meeting minutes
- Coordinate Annual General Meeting logistics
- Maintain Board records and governance documentation
- Track Board member terms and onboarding requirements
Insurance Administration
- Serve as the primary contact for organizational insurance programs
- Coordinate annual student accident insurance processes
- Coordinate liability insurance renewals
- Distribute insurance forms and documentation to schools
- Track submissions and follow up on outstanding requirements
- Maintain insurance records and renewal schedules
- Liaise with insurance providers regarding documentation and requirements
Compliance & Records Management
- Maintain organizational records, policies, bylaws, and contracts
- Coordinate Alberta Societies Branch filings
- Maintain SharePoint and organizational filing systems
- Support records retention and document management practices
Communications
- Prepare and distribute communications to schools, principals, and stakeholders
- Maintain organizational directories and contact databases
- Coordinate information sharing through digital platforms
- Maintain and update website content
- Support organizational announcements and member communications
Event & Meeting Coordination
- Coordinate professional development events
- Manage registrations and attendee communications
- Coordinate venues, catering, supplies, and event logistics
- Prepare event materials and resources
- Support committees with meeting administration
Membership & School Support
- Maintain membership records
- Coordinate annual directory updates
- Assist schools with administrative inquiries
- Support distribution of organizational resources and information
Qualifications
- Strong administrative and organizational skills
- Excellent written and verbal communication abilities
- Ability to manage multiple priorities and deadlines
- Proficiency with Microsoft Office 365 and digital collaboration tools
- Experience with records management, meeting coordination, and communications
- Experience working with boards, committees, non-profit organizations, or educational organizations is considered an asset
- Familiarity with SharePoint is an asset
