About the Role:
The Project Management Assistant is responsible for assisting Project Managers in ensuring that construction projects run smoothly from start to finish with proper planning and execution.
Responsibilities:
- Assist Project Managers in organizing and detailing job specifics to be ready for site; follow site project development.
- Prepare project start up documents.
- Assist Project Managers with design, project scheduling, and in-house coordination.
- Assist the Chief Estimator in providing quotation, material breakdowns, and in-development of existing projects.
- Procure all necessary permits related to projects execution.
- Assist Project Managers with all contract documents consisting of, but not limited to, contract, drawings, execution schedules, labor schedules, specifications, addendums, and purchasing.
- Procure all necessary permits related to projects’ execution.
- Assist with shop drawings and purchasing.
- Resolve and/or assist in resolving contract issues as they arise.
- Collaborate and keep the lines of communication open when working with team members, trade partners, consultants, and clients.
- Maintain and update the “Change Orders Registry”, and distribute necessary material throughout the organization.
- Follow up with superintendents to ensure deficiency lists are completed as planned.
- Establish and update records of all correspondence related to contract activity.
- Contribute to team efforts to manage projects and ensure their on-time completion, on budget, within specification, accident-free, and to clients’ satisfaction.
- Develop and maintain good working relationships with clients, suppliers, and engineers.
- Work closely with Project Coordinators to ensure seamless document control, scheduling updates, and communication with site staff.
- Support Project Coordinators in tracking project progress, monitoring deliverables, and preparing reports for management and clients.
- Assist Project Coordinators in coordinating meetings, distributing minutes, and following up on assigned action items.
- Provide backup support to Project Coordinators during peak workloads or staff absences to ensure continuity of project administration.
- Other duties will be assigned as required.
What You’ll Bring:
- Post-secondary diploma or degree in a related field
- 2+ years of administration experience
- Experience in the construction industry is an asset
- Proficiency in Microsoft Office (Word, Excel, Outlook, etc.)
- Strong organizational skills with a high level of attention to detail
- Proactive problem-solving abilities and task-oriented
- Ability to manage competing priorities and re-prioritize workloads
- Bilingualism (English and French) is an asset
