Fleet Maintenance Shop Manager / Parts Clerk - Didsbury, AB
While the administrative home base for this position is Didsbury, Alberta, the scope of West-Can Seal Coating's operations is regionally expansive. We specialize in a variety of road and civil projects, including micro-surfacing, chip sealing, road building and the repair of bridges and culverts. Although the majority of our work is concentrated across the prairie provinces, Alberta, Saskatchewan and Manitoba, our operations occasionally extend into British Columbia and Ontario.
Summary
The Fleet Maintenance Shop Manager / Parts Clerk is a management role, directly reporting to Ownership, responsible for overseeing the selection, purchase, maintenance, repair and documentation of the West-Can Seal Coating (WCS) fleet. This position ensures the safety, integrity and cost-effective delivery of fleet services for approximately 150 licensed assets plus off-road equipment. The Fleet Maintenance Shop Manager / Parts Clerk manages day-to-day shop activities, schedules mechanical staff and implements efficiencies to ensure consistent production and quality control. The Fleet Maintenance Shop Manager / Parts Clerk is also responsible for upholding high safety and quality standards, and providing technical guidance and mentorship to the team. Key interactions include the team of mechanics and apprentices, Field Superintendents, Senior Management, Human Resources, Office Admin team, Accounting personnel, some seasonal field employees (Drivers and Equipment Operators) and external suppliers.
Responsibilities:
Leadership & Management
- Promote, execute and adhere to the company’s safety program.
- Ensure compliance with safety regulations and promote a safe working environment for all staff.
- Supervise, coach and mentor a team of 10–15 heavy-duty, truck and trailer, and apprentice mechanics.
- Oversee all shop activities during summer and winter months, reporting progress to Ownership.
- Hiring key personnel in conjunction with Human Resources and developing potential leaders within the team.
- Enforce safety procedures, conduct weekly safety meetings, and maintain adherence to the company safety program and COR status.
- Approve mechanical staff shop hours and timesheets
Operations & Maintenance
- Coordinate fleet services operations, including work scheduling and staff performance.
- Oversee fleet maintenance and annual inspections, ensuring all licensing, testing and inspection (CVIP) requirements are met.
- Develop full life-cycle overhaul and maintenance strategies to support mechanical reliability targets.
- Track and maintain all rolling stock and maintain a strong understanding of fleet locations for dispatching purposes.
- Conduct final inspections and approve completed work to ensure quality standards.
Parts & Inventory Control
- Manage an internal parts department, researching availability and costing.
- Collaborate with the mechanical team to anticipate and fulfill parts requirements to ensure equipment maintenance remains on schedule.
- Source and order parts, tires, fluids and supplies in a timely and cost-effective manner.
- Manage "parts on hand" and adjust inventory levels.
- Process and track all warranties, returns and core credits.
Administrative
- Prepare reports and recommendations for Ownership regarding equipment performance and budgets.
- Maintain accurate records of all shop activities, equipment reports and invoicing.
- Open, maintain and close work orders for both shop and field staff.
Qualifications:
Education, Training and Certifications
- Valid Class 5 Driver's License (Class 1 or Class 3 License Considered an Asset).
- Valid Alberta recognized HET and/or Truck and Trailer License (Required).
- Holding a Journeyman Automotive Technician designation alongside the required licenses would be a valuable advantage.
- Valid Commercial Vehicle Inspection Technician License (CVIP) (Required).
- First Aid & CPR certification (Required).
- Intermediate to advanced computer skills, specifically with Google Workspace.
Work Experience
- A minimum of 7 years of increasingly specialized experience as a certified Journeyman Heavy Duty Mechanic or Journeyman Truck & Transport Mechanic is required.
- Holding a Journeyman Automotive Technician designation alongside the required licenses would be a valuable advantage.
- Previous supervisory or foreman experience is considered an asset.
- Strong communication and leadership abilities.
- Must have experience working in both shop and remote field settings.
- Experience managing apprentices.
- Work Ethic: Strong commitment to safety, quality and continuous improvement.
Technical Knowledge
- Strong working knowledge of highway resurfacing, road rehabilitation and paving techniques, equipment operation and jobsite practices.
- Thorough understanding of pre and post operational inspection procedures.
- Ensure all tools and equipment are maintained for successful job completion.
- Familiarity with road construction materials, processes and industry standards.
- Technical Skills: Advanced diagnostic and troubleshooting skills for modern heavy equipment. Proficient with diagnostic software and tools.
Working Conditions and Physical Requirements:
- Genuine desire to mentor and support staff.
- Strong interpersonal, written, and oral communication skills for negotiating with vendors and managing teams.
- Critical thinking and problem-solving skills with the ability to resolve conflict and use sound judgment.
- Demonstrated ability to manage project budgets and identify necessary resources.
- Location: Primarily based at the Didsbury shop, some field travel may be required during summer months (May to October) to visit crews and job sites.
- Schedule: Requires being "on-call" during peak season to help staff troubleshoot issues over the phone.
- Physical Demands: Must be able to perform heavy lifting (up to 50 lbs independently or 100 lbs with assistance).
