Payroll, Accounting & Administrative Coordinator Company Overview

Position Overview
We are seeking an organized, proactive, and detail-oriented Payroll, Accounting & Administrative Coordinator to join our team.
This position plays an important role in supporting the financial and administrative operations of the company. The successful candidate will assist with payroll processing, bookkeeping, accounts payable and receivable, employee administration, recordkeeping, compliance documentation, contractor administration, and general office support.
This role is well suited to someone who enjoys working with numbers, is highly organized, can manage multiple priorities and deadlines, and is comfortable handling confidential employee and financial information.
Key ResponsibilitiesPayroll Administration
- Review employee timesheets for completeness and accuracy.
- Assist with payroll preparation and processing.
- Maintain and update employee payroll profiles and records.
- Calculate and process vacation pay, sick pay, statutory holiday pay, allowances, reimbursements, bonuses, and other payroll adjustments as required.
- Assist with payroll deductions and pay-rule administration.
- Support compliance with applicable provincial and federal payroll requirements.
- Maintain organized payroll records and supporting documentation.
- Respond to employee payroll questions and investigate discrepancies when required.
- Assist with payroll reporting, reconciliations, and year-end requirements.
Accounting & Bookkeeping
- Maintain accurate and up-to-date financial records using accounting software.
- Record financial transactions and complete general bookkeeping duties.
- Prepare and enter journal entries as required.
- Assist with bank, credit card, and general ledger reconciliations.
- Track expenses and ensure supporting documentation is properly recorded.
- Assist with financial reporting and account reconciliation.
- Review financial information for discrepancies and follow up as required.
- Maintain organized electronic and physical accounting records.
Accounts Payable & Accounts Receivable
- Receive, review, code, and process vendor invoices.
- Maintain accurate accounts payable records and payment documentation.
- Record customer payments and assist with accounts receivable administration.
- Follow up with project managers regarding outstanding invoice approvals.
- Process employee expenses and reimbursements.
- Verify receipts and supporting documentation before processing payments.
- Enter project costs and financial information into applicable accounting and project-tracking systems.
- Assist with vendor account reconciliations and resolve discrepancies when required.
- Maintain records for recurring office expenses including utilities, waste services, cleaning, telecommunications, and other service providers.
Human Resources & Employee Administration
- Assist with employee onboarding and new-hire documentation.
- Maintain accurate, organized, and confidential employee files.
- Update employee information within payroll, HR, and company systems.
- Assist with employee benefits administration and related documentation.
- Prepare employment-related documents as required.
- Track required employee documentation and follow up on outstanding items.
- Respond to general employee administrative inquiries and direct matters to the appropriate manager when necessary.
- Support compliance with applicable employment standards and company policies.
- Assist with employee departures and payroll-related offboarding requirements.
Contractor & Compliance Administration
- Assist with contractor onboarding.
- Maintain contractor agreements, insurance documents, safety documentation, and other required records.
- Track contractor documentation and follow up on expired or outstanding requirements.
- Coordinate contractor invoice approvals with project managers.
- Maintain organized compliance and vendor records.
General Administration
- Perform accurate data entry across payroll, accounting, HR, and project-management systems.
- Maintain organized electronic filing and document-management systems.
- Assist with correspondence involving employees, vendors, government agencies, service providers, and managers.
- Support general office administration and recordkeeping.
- Assist with maintaining company documentation, registrations, and administrative records.
- Help identify discrepancies, missing information, and administrative issues before they affect payroll or accounting deadlines.
- Provide administrative support to management as required.
Qualifications
- Previous experience in payroll, bookkeeping, accounting administration, office administration, or a related position.
- Experience reviewing employee timesheets and assisting with payroll processing.
- Working knowledge of accounts payable, accounts receivable, account reconciliations, and general bookkeeping.
- Understanding of Canadian payroll practices and employment standards.
- Experience using accounting, payroll, time-tracking, HR, or project-management software.
- Proficiency with Microsoft Excel, Word, Outlook, and electronic document-management systems.
- Strong numerical and data-entry skills with a high level of accuracy.
- Excellent organizational and time-management abilities.
- Ability to manage multiple priorities and meet payroll, payment, and reporting deadlines.
- Strong written and verbal communication skills.
- Ability to work independently while also collaborating effectively with managers and employees.
- Professional judgment and discretion when handling confidential employee and financial information.
- Strong problem-solving skills and the ability to identify and investigate discrepancies.
Preferred Experience
The following would be considered an asset but is not required:
- Experience with QuickBooks or similar accounting software.
- Experience with Canadian payroll software or payroll platforms.
- Experience with employee time-tracking systems.
- Experience administering employee benefits.
- Experience maintaining employee and contractor compliance documentation.
- Experience working within construction, excavation, telecommunications, utilities, or another project-based industry.
- Payroll Compliance Professional (PCP) designation or payroll-related education.
- Bookkeeping, accounting, business administration, or related education.
