Who We Are: Ktunaxa Kinbasket Child & Family Services (KKCFSS) is a non-profit Indigenous Child and Family Service Agency governed by a Board of Directors represented by ʔakisq̓nuk, ʔaq̓am, yaqan nuʔkiy (Lower Kootenay Band), yaq̓it ʔa·knuqⱡiʾit (Tobacco Plains Band), Shuswap Band and the Métis Nation BC. KKCFSS programs and services are available to Ktunaxa citizens, First Nations, Métis and Inuit living on and off-reserve in Ktunaxa ʔamakʔis (Traditional Territory).

The Opportunity: The Guardianship Team Administrative Assistant provides comprehensive administrative and operational support to the Guardianship Team. This role serves as a key resource for records management, court and legal documentation, system support, and administrative coordination.

In the Role as Guardianship Team Administrative Assistant, You Will:

Provide comprehensive office support, including typing, filing, data entry, and document management
Prepare and manage court documents, legal correspondence, and specialized mail
Compile and organize disclosure files for legal professionals as required
Provide system support and troubleshooting for MIS, ICM, and BP
Maintain organized physical and electronic filing systems
Manage calendars, schedule meetings, and coordinate travel requests
Prepare payments for processing
Maintain strict client confidentiality and ensure compliance with privacy requirements
Liaise with external partners, including schools, community organizations, and social service agencies
Support case management by preparing documentation and maintaining up-to-date client records
Provide respectful, compassionate, and culturally appropriate communication with clients, families, and community members
Provide practical support to Guardianship Social Workers, including assisting with time-sensitive or situational client-related needs
Provide front-end reception support and backup coverage for other Team Administrative Assistants during absences or peak periods

What You Will Bring to the Role:

Education & Experience

Certificate in Office Administration (one year)
Experience in Family Support, Child Welfare, or Social Services is an asset
Previous administrative experience in a social service or Indigenous organization preferred

Skills & Competencies

Strong interpersonal skills, including tact, professionalism, and diplomacy
Excellent organizational skills with the ability to manage multiple priorities
High attention to detail and strong records management abilities
Proficiency in Microsoft Office Suite (Word, Excel, Access; minimum 40 wpm)
Ability to handle sensitive and confidential information with discretion
Understanding of court processes and legal documentation is an asset
Ability to adapt to a fast-paced environment with changing priorities
Strong communication and problem-solving skills
Knowledge and respect for Ktunaxa culture, language, and traditions
Valid driver’s license and reliable vehicle
