We are a growing real estate investment and property management company focused on acquiring, developing, and managing residential and commercial properties. We pride ourselves on professionalism, strong financial management, and delivering exceptional service across our portfolio.

We are seeking a highly organized and detail-oriented Office Manager & Bookkeeper to oversee the day-to-day administration of our office while managing the company's bookkeeping and financial records. This is an ideal opportunity for someone who enjoys variety, takes initiative, and thrives in a fast-paced real estate environment.

Key Responsibilities

Office Management:

Manage the daily operations of the office and ensure administrative processes run efficiently
Answer phones, emails, and respond to general inquiries
Organize and maintain digital and physical filing systems
Order office supplies and coordinate with vendors and service providers
Prepare documents, reports, and correspondence
Assist with lease administration and real estate documentation
Support the ownership and management team with various administrative projects

Bookkeeping & Accounting:

Perform daily bookkeeping and maintain accurate financial records
Record accounts payable and accounts receivable transactions
Process invoices and prepare payments
Reconcile bank and credit card statements
Prepare monthly financial reports and assist with year-end reporting
Maintain general ledgers and supporting documentation
Assist with budgeting and cash flow tracking
Work with external accountants during month-end and year-end processes
Ensure financial records are accurate and up to date

Real Estate Administration:

Maintain tenant records and lease files
Assist with rent collection and tenant account reconciliation
Track operating expenses for multiple properties
Coordinate insurance renewals, utility accounts, and property-related documentation
Assist with vendor contracts and service agreements
Support property acquisitions, dispositions, and financing transactions through administrative coordination

Qualifications:

Minimum 3 years of bookkeeping and office administration experience
Experience in real estate, property management, construction, or a related industry is considered a strong asset
Proficiency in QuickBooks
Proficiency in Buildium
Strong understanding of bookkeeping principles and financial reporting
Excellent organizational and time management skills
High level of accuracy and attention to detail
Ability to manage multiple priorities and meet deadlines
Professional, dependable, and able to maintain confidentiality
