Lerners is seeking a Legal Assistant to support the Health Law and Personal Injury practice groups in the Toronto, Ontario office. The ideal candidate will have over five (5) years of experience working in a similar position. The successful candidate will support two (2) busy partners and will need to be comfortable managing competing priorities in a high-volume litigation practice. This is a Hybrid position and requires a minimum of 3 (three) days per week in the office.

Primary Responsibilities
- Serve as a first point of contact for clients and prospective clients, managing inquiries and directing matters appropriately.
- Schedule and coordinate client meetings, mediations, hearings, teleconferences, case conferences, settlement conferences, and other internal and external meetings, including the preparation and organization of agendas, materials, minutes, and related documentation to support effective file administration.
- Maintain lawyer calendars, proactively monitor deadlines, and manage an effective bring-forward (BF) system to support file progression.
- Draft, format, proofread, and process legal documents and correspondence based on precedents, including agreements, applications, submissions, pleadings, and other legal materials.
- Prepare, update, compile, serve, and file court and tribunal documents and materials, including pleadings, motion records, mediation briefs, submissions, affidavits of documents, and other legal filings, in collaboration with lawyers and law clerks and in compliance with applicable rules and procedures. Prepare, send, and respond to correspondence with clients, lawyers, experts, service providers, courts, tribunals, and other stakeholders.
- Prepare and file materials with the License Appeal Tribunal (LAT).
- Maintain accurate and organized electronic and paper file records, including uploading, naming, managing, and filing documents and correspondence within the firm's Document Management System (iManage), distributing communications, and ensuring timely follow-up on file-related matters.
- Assist with billing and financial administration, including preparing accounts, requesting and issuing invoices, processing payments and deposits, coordinating third-party invoices and disbursements, and liaising with accounting staff regarding accounts receivable and payable matters.
- Coordinate with lawyers, law clerks, legal assistants, records, mailroom staff, and other support personnel to ensure the timely and accurate completion of work and provide support across files as needed.
- Handle sensitive and confidential information with discretion and professionalism.
- Perform other duties as required to support the efficient administration and operation of the practice.
Qualifications
- Legal Assistant experience, or an equivalent combination of education and experience.
- At least five (5) years of experience as a Legal Assistant in a legal environment.
- Experience in health law and/or personal injury are assets.
- Strong understanding of the Ontario Rules of Civil Procedure, including court procedure, service requirements, deadlines, and court forms.
- Solid understanding of the Statutory Accident Benefits Schedule (SABS), License Appeal Tribunal (LAT) processes, tort claims and limitation periods.
- Highly organized, with strong attention to detail and the ability to manage competing deadlines.
- Self‑motivated and proactive, with the ability to anticipate needs and take the appropriate next steps.
- Strong verbal and written communication skills, with a professional and client‑focused approach.
- Sound judgement, critical thinking and strong problem-solving skills.
- Ability to work both independently and collaboratively in a team environment.
- Demonstrated commitment to high‑quality client service, confidentiality and professionalism.
- Strong Microsoft Office skills and comfort quickly learning firm‑specific systems.
- Experience with legal software such as Primafact, iManage, ACL, Case Center, Justice Services Online (JSO) Portal, and/or OneDrive is an asset.
- Comfort working with technology in a remote or hybrid environment.

Salary
Target Hiring Range: $68,500 - $77,000
Commensurate with skill level, years of experience, and aligned with internal and market equity.
