Overview

We are seeking a motivated Entry-Level Executive Assistant & Program Assistant & Data Entry and Client Support to join our dynamic team. This versatile role offers an excellent opportunity for individuals interested in administrative support, client communication, and data management. The position can be full-time or part-time, providing flexibility to accommodate different schedules. Ideal candidates will possess strong organizational skills, proficiency with office software, and a customer-focused attitude to ensure smooth operations and exceptional client service.

Duties

Manage and maintain calendars using Microsoft Outlook Calendar and Google Workspace to coordinate meetings and appointments efficiently
Provide front desk support, including greeting visitors and answering multi-line phone systems with professional phone etiquette
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and specialized software such as DocuSign and QuickBooks
Assist with bookkeeping responsibilities, including invoicing, expense tracking, and basic financial record keeping
Support administrative functions such as filing, proofreading documents, and organizing digital and physical files
Handle client correspondence via email and phone, ensuring timely responses and excellent customer service
Support program-related activities by preparing reports, tracking project deadlines, and assisting with event coordination if needed
Maintain organized records of client interactions, appointments, and project documentation to ensure data integrity

Qualifications

Prior office experience or clerical experience is preferred but not required; training will be provided for specific software tools
Proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with multi-line phone systems is highly desirable
Strong typing skills with attention to detail for accurate data entry and proofreading tasks
Experience with QuickBooks or bookkeeping is a plus but not mandatory; willingness to learn is essential
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Demonstrated customer service skills with professional phone etiquette and clear communication abilities
Ability to handle confidential information discreetly and maintain professionalism at all times
Strong organizational skills with the ability to multitask across various responsibilities efficiently
