We're looking for a highly organized, commercially minded and financially astute Commercial Operations Specialist who thrives on creating structure, improving processes and ensuring every customer engagement is commercially successful.

About the Role
The Commercial Operations Specialist is responsible for ensuring every customer engagement moves efficiently from opportunity through quotation, procurement, licensing, order processing, project handoff, customer onboarding and invoicing.
Working closely with Sales, Customer Delivery, Finance, Microsoft, and our strategic partners, you'll ensure every engagement is commercially sound, operationally efficient and financially profitable.
This is far more than an administrative position.
We're looking for someone with exceptional business judgment, strong financial acumen and a passion for operational excellence. You'll become one of the key guardians of AirGate's commercial processes, helping protect profitability while delivering an exceptional customer experience.
What You'll Be Responsible For
Commercial Operations
- Prepare customer quotations and commercial proposals.
- Coordinate Microsoft CSP licensing and Azure subscription orders.
- Process customer orders accurately and efficiently.
- Coordinate procurement with Microsoft and distribution partners.
- Track orders through completion and customer delivery.
- Coordinate customer onboarding activities.
- Support contract administration and purchase order management.
- Manage subscription lifecycle activities including renewals, changes and cancellations.
- Maintain CRM and PSA data accuracy.
Financial & Commercial Management
- Review quotations for pricing accuracy and profitability.
- Validate gross margins and identify commercial risks before proposals are released.
- Ensure pricing aligns with company standards and profitability objectives.
- Review Statements of Work and commercial assumptions for completeness and consistency.
- Coordinate vendor pricing and procurement to maximize profitability.
- Support revenue forecasting and pipeline reporting.
- Work closely with Finance to reconcile vendor invoices, customer billing and subscription changes.
- Ensure projects are commercially complete and ready for invoicing.
- Support revenue recognition readiness by validating commercial documentation and billing milestones.
- Identify opportunities to improve commercial performance and operational efficiency.
Microsoft Programs & Commercial Governance
- Serve as AirGate's operational lead for Microsoft funding and incentive programs, including Microsoft Customer Investment (MCI), End Customer Investment Funds (ECIF), Azure Accelerate, Azure Innovate and other Microsoft investment initiatives.
- Work closely with Customer Delivery Managers, Sales Leadership, Microsoft account teams and Finance to identify customer engagements eligible for Microsoft funding.
- Coordinate funding applications, approvals and required supporting documentation.
- Track approved funding against project milestones, commercial commitments and customer deliverables.
- Manage Proof of Execution (POE) documentation, customer sign-offs and submission deadlines.
- Ensure all Microsoft funding deliverables and compliance requirements are completed accurately and submitted on time.
- Maintain accurate records of funding utilization, reimbursement status and outstanding claims.
- Reconcile Microsoft incentive payments with Finance to ensure accurate financial reporting and recognition.
- Develop and maintain internal governance, templates and processes supporting Microsoft funding programs.
- Monitor changes to Microsoft partner incentives, funding motions and commercial programs, proactively communicating opportunities and changes to leadership.
- Produce regular reporting on funding secured, incentive realization, outstanding claims and program performance.
Deals Desk & Sales Operations
- Support Sales and Customer Delivery Managers throughout the sales cycle.
- Coordinate approvals for non-standard pricing.
- Validate Microsoft licensing recommendations.
- Assist with customer renewals and commercial growth opportunities.
- Prepare pricing models and customer options.
- Help maintain pricing consistency across all service offerings.
- Ensure opportunities meet AirGate's commercial governance standards before customer presentation.
Process Improvement & Operational Excellence
- Improve internal commercial workflows and business processes.
- Develop and maintain standard operating procedures.
- Identify opportunities for automation using Microsoft technologies, AI and Power Platform.
- Track operational KPIs and recommend improvements.
- Help build repeatable, scalable commercial processes as AirGate continues to grow.
- Support continual improvement initiatives across Sales, Delivery, Finance and Operations.
What We're Looking For
Required Qualifications
- 3+ years of experience in Commercial Operations, Sales Operations, Deals Desk, Procurement, Finance, Order Management or similar roles.
- Strong financial and commercial acumen.
- Experience reviewing pricing, profitability and gross margins.
- Excellent analytical and problem-solving skills.
- Advanced Microsoft Excel skills, including Pivot Tables, XLOOKUP, financial analysis and reporting.
- Exceptional organizational and time management skills.
- Outstanding attention to detail.
- Exceptional written and verbal communication skills.
- Ability to manage multiple priorities simultaneously.
- Customer-first mindset.
- Ability to work independently in a remote environment.
Preferred Qualifications
- Experience working for a Microsoft Partner, MSP or technology consulting organization.
- Microsoft CSP licensing experience.
- Experience coordinating Microsoft funding programs such as MCI, ECIF or Azure Accelerate.
- Knowledge of Azure and Microsoft 365 commercial licensing.
- Experience working with third party software vendors like Fortinet or Palo Alto or Veeam
- Experience using Salesforce, Halo PSA, Dynamics 365, Business Central or similar business systems.
- Understanding of recurring revenue and subscription business models.
- Experience supporting budgeting, forecasting or financial reporting.
