Position Summary
As the Aquatic Programs Coordinator, you are responsible for ensuring the safe, efficient, and engaging delivery of Vivo’s aquatic programs and services. You will coordinate all aspects of aquatic programming - from scheduling, staffing, and program development to safety compliance and customer experience.
This role blends operational excellence with leadership and innovation. You will support a team of instructors and lifeguards to deliver high-quality, inclusive, and play-based learning experiences that reflect Vivo’s commitment to health, safety, and community connection.
You will work closely with the Aquatics Manager and cross-departmental teams to enhance the guest experience, drive program participation, and strengthen alignment with organizational priorities and service standards.
Key Responsibilities
Program Leadership & Operations
Oversee daily and short-term operations of aquatic programs, ensuring consistent quality, safety, and customer satisfaction.- Plan, schedule, and coordinate swim lessons, public programs, and specialty aquatic offerings in alignment with Alberta Labour Standards and facility capacity.
- Maintain accurate and timely records in scheduling and program software (e.g., Avocado, WhenToWork).
- Monitor program enrollment, attendance, and waitlists to ensure optimal resource use and responsiveness to community demand.
- Ensure adherence to health and safety legislation, regulatory requirements, and Vivo policies.
- Support the preparation and monitoring of budgets related to programming and staffing.
Team Leadership & Development
Lead, mentor, and coach a diverse team of aquatic instructors and staff.- Facilitate onboarding, training, and performance support to ensure consistency in service delivery.
- Observe instruction and lifeguard practices, providing constructive feedback to build skill and confidence.
- Coordinate and maintain certification records, ensuring all staff qualifications are current and compliant.
- Foster a culture of accountability, teamwork, and inclusion consistent with Vivo’s values.
Customer & Community Engagement
Act as the primary point of contact for program participants, parents/guardians, and staff.- Address inquiries, feedback, and incidents with professionalism and empathy.
- Promote a positive, welcoming environment that supports diverse participants and learning styles.
- Collaborate with Marketing, Guest Experience, and Community teams to promote aquatic programs and initiatives.
- Support community partnerships and outreach initiatives that advance aquatic literacy and participation.
Safety & Risk Management
Champion proactive safety standards, emergency readiness, and continuous improvement in risk prevention.- Lead by example in responding to emergencies with calm and confidence.
- Ensure facility, equipment, and pool environments are inspected, clean, and operationally ready for programming.
- Maintain accurate incident, inspection, and maintenance records.
Program Innovation & Evaluation
Support the evolution of play-based and curriculum-aligned aquatic experiences that promote learning through fun and movement.- Analyze participation data and feedback to identify trends, gaps, and opportunities for improvement.
- Recommend and implement enhancements to programs, policies, and operational processes.
- Contribute to broader cross-departmental initiatives aimed at advancing Vivo’s strategic priorities and member experience.
Qualifications
Education & Certifications
National Lifeguard and Lifesaving Instructor/Examiner certifications, including Instructor Trainer-level (required).- Swim and SwimAbilities Instructor Trainer certification (asset).
- Current Standard First Aid and CPR-C/AED (required).
- Valid Police Information Check with Vulnerable Sector Search (within the past 2 months).
Experience
Minimum 3 years of aquatic leadership experience, including lifeguarding and instruction.- Minimum 2 -3 years in a supervisory or coordinator role.
- Demonstrated experience in program administration, staff scheduling, and customer engagement.
- Experience with scheduling and program management systems (Avocado, WhenToWork, or equivalent) is an asset.

Compensation & Benefits
Full-time (40 hours per week)- Flexible schedule including evenings and weekends (Saturday–Wednesday)
