Job Description:
Position Purpose summary:
The Administrative Coordinator is responsible for processing and recording accounting transactions and account reconciliations for the Gander Corps and various programs within; as well as providing administrative support to the Corps Officers and Community & Family Services.
Accountabilities:
Financial and Accounting Functions:

Responsible for tracking all Gander Corps accounting functions, including Business World (Agresso)
-
Monitor all purchases and ensure that they are within organizational guidelines and coded to proper budgets.

Liaise with all funders and suppliers regarding financial transactions
-
Prepare and record all daily cash transactions
-
File all finance records in an orderly manner and in accordance with Salvation Army policies and procedures
-
Complete weekly bank runs when necessary
-
Administer and track any petty cash/cheques held at the Gander Corps
-
Maintain the historical records for the Finance Department in the Gander Corps
HR Processes and Support:
-
Monitor changes into UltiPro/Workday for approval by the Corps Officer
-
Provide support in staff/volunteer onboarding
-
Obtain employees’ yearly driver’s abstract and forward information to the Corps Officer and Divisional Director of Human Relations, as required.
Administration Duties:
-
Process all forms necessary for day-to-day operation of the Gander Corps
-
Ensure hardcopy filing when required.

Prepare letters, bulletins, posters, and brochures for special events for the Corps and CFS
-
Preparation of Corps e-mail announcements and all PowerPoint/ Easy Worship presentations
-
Attend and record Program Board minutes/forward minutes to Mission Board Members
-
Ensuring that Membership Rolls are updated for the Annual Mission Impact Reviews and complete all documentation as necessary.

Monitor and process building rentals and Corps calendar
-
Maintain databases in both Shelby (Corps rolls) and statistics in SAMIS as well as Corps directory
-
Scan and code all invoices
-
Attend and record minutes of Volunteer/Staff meetings for CFS
-
Maintain and update CFS Inventory
-
Process Volunteer Police checks and maintain a list of volunteers for CFS
-
Order and process items for CFS building/school lunch program
-
Order Christmas cards & prepare gift card vouchers for CFS
-
Record and keep records of all Gift cards for CFS
-
Process clients during Christmas distribution days for CFS
-
Create, print, and prepare Christmas vouchers & toys for client registration books for CFS
-
Perform other duties as required.
General Office Duties:
-
Maintain computerized files for all aspects of programming, including correspondence, reports, and schedules.

Perform administrative duties for CFS and the Gander Corps
-
Assist in the opening and processing of mail
-
Order business cards, official stationery, and office supplies for the Gander Corps. Complete annual ministry unit inventory for Corps and CFS
-
Accountable for providing support and maintenance of telephones, printers/copiers/scanners, and computers; ensuring that proper protocol is followed when dealing with vendors
FINANCIAL AND MATERIALS MANAGEMENT:
- Conduct monthly reconciliation of 3 corporate credit cards
-
Responsible for the data entry of all day-to-day financial transactions at the Gander Corps and the documentation and filing of employee information
WORKING CONDITIONS:
- Working environment is typically in the office in generally agreeable conditions, with the possibility of dealing with angry and abusive people

Extended hours during the Christmas Season for CFS as necessary
Education, Qualifications and Certifications:
- Completed a minimum of two (2) years of appropriate community college, or professional work equivelent with post-secondary training in office, finance, and clerical skills.

Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion.
Experience and Skilled Knowledge Requirements
- 2-3 years prior related experience in the social services field, including working with vulnerable populations

A good knowledge of the not-for profit business aspect of The Salvation Army is a key asset

- Proficient in basic accounting, advanced keyboarding,

Must be able to establish credibility quickly within the organization as a trusted employee

Possess excellent computer skills and having a good knowledge of Microsoft Office products, including Word, Excel, Publisher and PowerPoint

Compensation:
The target hiring range for this position is $39,967.20 to $49,959.00 with a maximum of $59,950.80.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
