Position Overview
The Operations Coordinator plays a central role in the day-to-day operation of the business, ensuring customer orders move smoothly from entry through fulfillment while maintaining accurate inventory, records, and administrative processes.
This position is ideal for someone who enjoys staying organized, keeping things on track, and working with both systems and people. You'll spend much of your time processing orders, maintaining inventory records, coordinating with production and logistics, and supporting day-to-day office operations. You'll also provide light accounting support through data entry and invoice processing.
Because we're a growing business, no two days are exactly alike. While your primary responsibilities will focus on operations and administration, you'll also be happy to step in where needed—whether that's greeting customers and designers visiting our showroom, answering phones, assisting with special projects, or supporting other members of the team. We're looking for someone who enjoys being part of a collaborative environment and is comfortable wearing multiple hats.
Key Responsibilities
Operations & Order Management
- Process customer orders accurately from order entry through fulfillment
- Review product specifications, pricing, quantities, and delivery requirements
- Coordinate order details with production, warehouse, and shipping partners
- Track order status and communicate updates to customers and sales representatives
- Maintain accurate inventory records and assist with inventory control
- Monitor stock levels and help coordinate replenishment as required
- Maintain organized customer files, order documentation, and operational records
Administrative & Customer Support
- Welcome customers, designers, and visitors to the showroom
- Answer incoming phone calls and respond to email inquiries
- Provide order updates, product information, and general customer support
- Coordinate product samples and customer requests
- Assist with freight scheduling and shipping documentation
- Order office supplies and maintain an organized workplace
- Support management with administrative tasks and special projects
- Pitch in wherever needed to help keep the business running smoothly
Accounting & Data Entry Support
- Enter customer and vendor invoices into QuickBooks
- Generate customer invoices and record incoming payments
- Assist with accounts receivable and accounts payable administration
- Maintain accurate financial records and supporting documentation
- Assist with reconciliations and month-end preparation
- Work closely with the Finance Director on accounting-related tasks
Qualifications
Required
- 2–5 years of experience in administration, operations, order entry, customer service, bookkeeping, or a similar role
- Experience with QuickBooks or comparable accounting software
- Strong Microsoft Office skills, particularly Outlook and Excel
- Excellent organizational skills and attention to detail
- Strong data entry accuracy
- Excellent communication and customer service skills
- Ability to manage multiple priorities in a fast-paced environment
- Professional, positive, and team-oriented attitude
- Comfortable working full-time in our Toronto office
Nice to Have
- Experience with inventory management or order management systems
- Manufacturing, flooring, building materials, or construction industry experience
- Experience with shipping, logistics, or freight coordination
- Basic accounting or bookkeeping knowledge
