Job Description:
This role is supportive; ultimately the Junior Project Coordinator is responsible for assisting the Project Coordinator, lead hands and company owners.
The main responsibilities of a Junior Project Coordinator include working with team members, trades, designers, architects to complete projects. As well as actively following up with all project team members and managing inventory.

Key Responsibilities
Project Documentation and Communication
- Maintain and monitor project documentation, correspondence, logs, and outstanding action items.
- Prepare, complete, issue, and track subcontract agreements, letters of intent, purchase orders, and related documents under the direction of project leadership.
- Effectively and accurately communicate relevant project information to clients, consultants, suppliers, trades, and the internal project team.
- Ensure important emails, meeting notes, site discussions, and decisions are promptly documented and distributed to the people who need the information.
- Maintain organized project folders and upload documents to the appropriate company or project platform.
Project Coordination and Tracking
- Track potential, contemplated, submitted, approved, and completed changes to contracts and project scope.
- Track requests for information (RFIs), submittals, shop drawings, site instructions, field reports, drawings, specifications, testing reports, and inspection records.
- Monitor projects from quotation through approvals, procurement, installation, deficiency completion, and closeout.
- Actively follow up with project team members, trades, suppliers, designers, and architects regarding outstanding information and required actions.
- Anticipate the company’s need for information, materials, approvals, access, and general coordination with daily project activities.
- Assist with coordinating schedules, materials, deliveries, manpower information, and changing site requirements.
Project Start-Up, Health and Safety, and Closeout
- Prepare and manage project start-up documentation, including Notices of Project, project-specific health and safety documentation, construction schedules, insurance, bonding, and other required submissions.
- Assist with health and safety administration, including training records, site-specific documentation, safety submissions, and compliance follow-ups.
- Ensure subcontractors and suppliers return signed agreements, purchase orders, and required documentation in time to commence work and process payment.
- Request or prepare completion certificates and ensure all required project closeout, warranty, maintenance, and turnover documents are collected and submitted.
- Maintain accurate deficiency and closeout tracking and follow up until outstanding items are completed.
Site and Warehouse Support
- Attend multiple job sites as required to take photographs, verify conditions, collect measurements, document progress, and support project coordination.
- Upload photographs, site records, and supporting documentation to the required project folder, software platform, or client-designated destination.
- Manage warehouse inventory records and assist with the continued development and improvement of inventory-tracking systems.
- Assist with receiving, material staging, delivery coordination, and communication between the warehouse, field teams, and project staff.
Essential Qualifications:
- Minimum three years of experience in project coordination or a similar coordination role within the commercial construction industry.
- A college diploma or bachelor’s degree in construction management, architectural technology, engineering technology, business, or a related field is preferred; equivalent practical experience will be considered.
- A valid driver's licence, access to a reliable vehicle, and the ability to travel throughout Toronto and the GTA are required.
- Current WHMIS, Working at Heights, and Fall Protection/Fall Arrest training or certification are required for site work.
- Ability to work full-time during typical 9:00 a.m. to 5:00 p.m. hours while remaining flexible for early starts, late days, overtime, or occasional weekend work based on project conditions.
Technical and Computer Skills
- Strong overall computer skills and the ability to learn new software and systems quickly.
- Proficiency in Microsoft Excel and Google Sheets, including formulas, sorting, filtering, formatting, and maintaining project, cost, material, and inventory trackers.
- Proficiency in Microsoft Word, Outlook, Google Docs, Google Drive, and other standard office and file-management applications.
- Experience using construction-management and document-control software such as PlanGrid, Autodesk Construction Cloud, Procore, or a similar platform.
- Comfort reviewing, organizing, and marking up PDF documents using Adobe Acrobat, Bluebeam, or similar software.
- Basic understanding of 2D AutoCAD is an asset; advanced drafting experience is not required.
- Strong practical math skills, including measurements, unit conversions, area calculations, percentages, quantities, and basic material takeoffs.
- Ability to read and understand architectural drawings, shop drawings, construction details, schedules, and specifications.

Schedule and Work Environment
- Full-time, typically Monday to Friday from 9:00 a.m. to 5:00 p.m.
- Hours may vary based on project schedules, site access, deadlines, and operational requirements.
- The role includes a combination of remote work, warehouse work, and active construction-site visits; it is not a fully remote position.
- Early mornings, evenings, overtime, and occasional weekend work may be required when project conditions demand it.
