Role Overview

The Office Manager is responsible for ensuring the efficient day-to-day operation of the office while providing administrative, financial, and operational support across the business.

The role acts as a central coordination point between employees, customers, suppliers, and external service providers, supporting smooth office operations, supply chain activities, customer administration, and financial processes.

Main Responsibilities

Ensure a professional, safe, and well-functioning office environment.
Coordinate office facilities, supplies, service providers, and workplace-related activities.
Act as the first point of contact for visitors and general office administration.
Coordinate purchasing, inventory management, incoming and outgoing deliveries, and warehouse administration.
Maintain accurate ERP and operational records.
Support rental fleet, calibration, and service operations.
Manage invoicing activities, including hardware orders, rentals, calibration, and service invoices.
Support credit control, credit memos, overdue debt collection, and customer account administration.
Ensure accurate handling of financial and delivery documentation.
Coordinate communication and collaboration between departments and external stakeholders.
Support management, marketing activities, and business improvement initiatives.
Act as the local coordinator for IT support, workplace safety, and office-related compliance activities.

The Office Manager is responsible for coordinating administrative, operational, and supply chain support functions for the office. The role ensures the efficient daily operation of the office environment while supporting supply chain processes, administrative systems, and internal coordination.

The role implements, maintains, and supports processes related to the office environment, administrative operations, and internal systems.

The Office Administrator serves as the first point of contact for visitors and internal staff while ensuring smooth coordination between departments such as sales, supply chain, and external suppliers. The role also contributes to improving office operations, work environment, and internal communication.

Main area of responsibilities

Maintain the office environment including workspaces, conference rooms, and common areas.
Coordinate services related to the office environment and workplace facilities.
Maintain office communication channels and ensure staff are informed about relevant company updates.
Purchase materials covering open orders, forecasted and non-forecasted orders, and Kanban materials according to agreed levels.
Coordinate planning and reporting related to calibration, service activities, production support, and equipment rentals.
Monitor incoming and outgoing deliveries and ensure efficient receiving, storage, and dispatch processes.
Coordinate order priorities and delivery requirements with Sales and Supply Chain teams.
Maintain warehouse stock accuracy and inventory records.
Support supplier administration, supplier selection activities, and supplier performance evaluations.
Manage rental fleet administration, availability, tracking, and asset records.
Provide administrative support and collaborate with Sigicom AB's Supply Chain function and other departments (or stakeholders) when required.
Ensure delivery documentation is properly handled, distributed, and retained.
Maintain accurate and up-to-date information in ERP systems and other work-related systems.
Act as contact person for outsourced IT support and coordinate IT purchases according to instructions from the direct manager or IT Business Manager, depending on the specifics of the case.
Ensure a safe and well-organized office environment.

Pay: $40,000.00-$50,000.00 per year
