POSITION DESCRIPTION
Title: Scheduling & Logistics Supervisor
Reports To: Plant Manager
Supervises: Shipping/Receiving, Truck Drivers and other Team Members as assigned
The Scheduling & Logistics Supervisor is responsible for overseeing scheduling of production and daily coordination of shipping & receiving, transportation, invoicing and customs. This role will ensure safety, quality, on time delivery, and cost objectives are met. The role encompasses leadership, coordination, administration, reporting, and continuous improvement. The Scheduling & Logistics Supervisor will support strategic initiatives set by Our Client and implement as required.
1. Leadership & Team Management
- Support and coach employees to ensure proper work instruction (WI) are followed
- Work with Production Supervisor on daily production plan to optimize resource and machine utilization
- Assign competent team members to onboard / orientate new / transferred employees and ensure training work instructions are on track and closed off
- Conduct quarterly performance reviews and set individual goals for development and performance of employees
- Work with Human Resources (HR) and / or Plant Manager (PM) to investigate, initiate, and execute corrective action discipline as required
- Generate and communicate the Past Due report each day for Sales and local Management that shows orders coming due, on schedule and past due
- Primary lead for weekly Sales & Operations Planning (S&OP) meeting
- Participate in all management, sales, production, and quality meetings
- Discuss, inform, and seek approval from PM on circumstances outside of regular business practices
- Coach, motivate, and recognize team members to promote a culture of continuous improvement, change management and best practices
- Coach, train, and develop employees in partnership with HR
- Foster a positive and collaborative team environment by promoting open communication and conflict resolution
- Lead backup for the PM, participating in bi-weekly Leadership Group meetings, report generation, and fielding of internal / external questions or requests
- Backup for the Production Supervisor, verify employee time & attendance, and support acting Production Supervisor and Team Leads with questions
- Backup for the Shipping/Receiving Clerk, invoicing and customs paperwork, freight/transport coordination
2. Production & Operations
· Address material and tool needs within the department
· Post Past Due report on huddle board and discuss any scheduling and on time delivery (OTD) obstacles, with the team at this daily meeting
· Plan, organize, and communicate current and upcoming work orders to achieve quality, on-time delivery and cost objective targets.
· Escalate schedule changes to Production Supervisor / PM as outlined;
- Level 1: Flag orders during daily huddle board meetings when they are perceived to be trending late
- Level 2: Use the Past Due Report to identify and escalate orders confirmed to miss their original due date
- Level 3: Escalate to the Plant Manager via the daily Past Due email when an order is determined to miss the due date a second time
· Enter, review, and approve employee time and attendance data in the Human Resource Management System (HRMS); manage vacation schedule and ensure sufficient coverage is available
· Work with the Maintenance Supervisor to schedule machine repair that will align with capacity planning
· Initiate, plan, implement and sustain corrective/preventive actions and
continuous improvement ideas to achieve objectives
· Review daily dispatch reports with Production Supervisor / Team Leads. Align
production with customer delivery expectations and re-align schedule where
required
· Implement company policies and objectives as required
· Generate daily capacity report showing estimated lead times for quoting
· Ensure customer delivery requests are on schedule; inform Estimating/
Sales / PM of any late shipments by 12 (noon) each day
· Complete renewals and coordinate internal fleet maintenance schedule
· Coordinate with external freight companies to meet delivery deadlines
· Update and ensure the Enterprise Resource Planning (ERP) database has accurate and current customer and employee data
3. Quality & Continuous Improvement
· Lead and manage Internal Non-Conformance (INC) and Voice of Customer (VOC) investigations, including 8D problem-solving, root cause analysis, and resolution activities in collaboration with internal teams; ensure timely closure in the database per procedural guidelines and communicate with customers when directed
· Complete weekly Layered Process Audit (LPA) as per plant schedule
· Work with HR to investigate and review quality non-conformances of team members and deliver corrective action progressive discipline when required
· Provide input to Corporate Quality Manager on process / procedure changes
· Ensure preventative and corrective actions are implemented, communicated, and sustained within departments – advise HR / PM of non-conformances and work to resolve in a timely manner
4. Health, Safety and Compliance
· Ensure full compliance with the Occupational Health & Safety Act (OH&S) and company-specific safety standards
· Deliver safety talks and share safety-related updates in team meetings
· Proactively identify, communicate, and act on workplace hazards
· Lead and document investigations into accident/incident investigation and near misses
· Lead 8D problem solving steps and document all reported accident/incident investigations and near misses
· Contribute to the development of a strong safety culture by leading through example
· Report and issue corrective actions for Health and Safety violations
· College/University or equivalent
· 5+ years of previous experience in logistics management and minimum of 1-year supervision or leadership experience
· Knowledge and understanding of steel manufacturing processes
· Strong knowledge and previous experience with customs regulations and paperwork
· Excellent verbal and written communication skills
· Ability to demonstrate strong leadership skills (safety conscious, continuously strive for growth, ability to motivate, problem solve, reliable, accountable, professional, collaborate and innovate)
· Strategic and tactical with ability to drive measurable results
· Independent and able to work as a team member
· High Energy, Organized, Able to work under pressure and multi-task
· Experience with ISO 14001 Quality System
· Strong MS Office skills
· Working knowledge of Dayforce and Profit Key an asset
· Able to sit and stand for extended periods of time
· Able to wear all required personal protective equipment (PPE)
