Position Overview
This is an in-person, office-based role requiring attendance at the workplace during regular business hours.
The Administrator provides administrative, financial, and executive support to ensure efficient business operations. This role is responsible for Accounts Payable administration while also supporting the President with scheduling, communications, reporting, and special projects.

What You’ll Do:
Process and verify invoices, purchase orders, and payments.
Prepare weekly and monthly payment runs.
Reconcile vendor statements and resolve discrepancies.
Maintain accurate records, spreadsheets, and filing systems.
Monitor payment deadlines and respond to vendor inquiries.
Assist with month-end and year-end reporting activities.
Support office operations and administrative processes.
Coordinate departmental administrative support as required.
Assist with special projects and other duties as assigned.
Provide administrative support to the President.
Coordinate meetings, travel arrangements, and calendars.
Prepare reports, presentations, correspondence, and meeting materials.
Conduct research and gather information to support decision-making.
Coordinate communication across departments.
Track action items and ensure deadlines are met.
Handle confidential information with discretion.
What You Bring:
High School Diploma/GED
Proficient in Microsoft Office Suite and Google Suite
Experience with JD Edwards and Tungsten (preferred)
Strong organizational skills; able to prioritize workload and meet deadlines in a fast-paced environment
Detail-oriented, professional, and committed to confidentiality
Valid driver’s license and ability to operate a motor vehicle according to BELFOR’s Auto Policy
Nice to Have
Diploma or Bachelor’s Degree in Accounting, Finance, Business Administration, or related field
1+ year experience in the construction or insurance industry
1+ year experience in office administration or accounting
Working Conditions
Manual dexterity for keyboarding, repetitive tasks, and prolonged periods of computer use, demanding attention to detail and high levels of accuracy
