Administrative Assistant at Blessed Sacrament School
East Central Alberta Catholic School Division invites applications for the position of 1.0 FTE Administrative Assistant at Blessed Sacrament School in Wainwright, Alberta. Blessed Sacrament School is a K-12 school that serves students in and around the Wainwright area.
Upon successful completion of the probationary period, employment will be a permanent position. This position will commence on August 21, 2026, and is subject to the Canadian Union of Public Employees (CUPE) Local 5352 Collective Agreement. This position is responsible for overseeing the operations of a school main office, which include implementing a broad range of support to an individual or group of individuals in an office, between offices, and/or departments.
This position involves but is not limited to the following duties:
- Extensive understanding regarding divisionally implemented software platforms i.e.. PowerSchool, Google, Microsoft Office (Word, Excel), etc.
- Extensive receptionist work. Answers phones, assists students and staff, greets and directs visitors, takes messages and information.
- Responsible for records management of a variety of hard copy or electronic files, e.g., student records, marks, attendance, meetings, minutes, etc.
- Provide Office/Program support - mail, filing, unpacking, forms, registrations, photocopying, maintaining office supplies.
- Provide a variety of services directly involving students such as but not limited to inputting student schedules in Powerschool, submitting student credentials to Alberta Education
- Preparing monthly newsletters, community use bookings/invoicing, setting up appointments for parent/teacher interviews, school agendas, preparing confidential and non-confidential materials.
- Responsible for accounts such as but not limited to the following: purchasing/ordering for the school, monthly reconciliation of accounts, management of accounts payable and receivable; receipt money, i.e. concession, lunch program, small amounts.
- Maintains and updates the Student Record Files, student demographic data and transfers student(s) into and out of the school records.
- Other duties as assigned by the school administration.
Desired Education and Experience:
- High School Diploma
- Computer experience and program applications (Google Apps-Suite/Microsoft applications; Power School)
- Good telephone and communication manners
- Excellent organizational skills
- Ability to work as an active team member
- Be able to accept a busy environment, handling several situations at one time
