Shift Energy Group is a Canadian renewable energy company delivering solar and energy solutions across multiple provinces. As we continue to strengthen our Finance and operational processes, we are looking for an experienced, hands-on Finance & Payroll Administrator to join our team.
This is an excellent opportunity for someone who enjoys variety and understands the financial side of a construction, solar, electrical contracting, renewable energy or other project-based business.
The Role
Reporting to the Director, Finance, the Finance & Payroll Administrator will support our day-to-day financial operations across payroll, accounts payable, project accounting, job costing, reconciliations and general financial administration.
Ideally, this position will be based in the Victoria area and work in a hybrid capacity from our Victoria office. However, we are open to considering a remote candidate in Canada who brings the right combination of payroll, accounting and project-based industry experience.
You will work closely with Finance, HR, Operations and project teams and will need to be comfortable supporting employees and projects across multiple Canadian provinces.
Key ResponsibilitiesPayroll Administration
- Process and support semi-monthly payroll using ADP for both hourly and salaried employees (70 employees).
- Review employee hours, overtime, vacation, statutory holiday pay and other payroll information for accuracy.
- Process employee payroll changes and maintain accurate payroll records.
- Assist with payroll reconciliations and investigate and resolve discrepancies.
- Support year-end payroll activities, including T4 preparation and reconciliation.
- Ensure payroll practices align with applicable provincial employment standards.
- Apply working knowledge of payroll requirements across British Columbia, Alberta, Nova Scotia and New Brunswick, including overtime, vacation pay, statutory holidays and other payroll-related requirements.
- Work closely with HR and Operations to ensure employee and payroll information is accurate and submitted on time.
Accounts Payable
- Manage day-to-day accounts payable activities.
- Review, code and process vendor and subcontractor invoices.
- Match invoices to projects, purchase orders and supporting documentation.
- Prepare payment runs and support timely vendor payments.
- Reconcile vendor statements and investigate discrepancies.
- Respond to vendor inquiries and maintain accurate supplier records.
- Ensure expenses are allocated to the appropriate project, department and general ledger account.
Project Accounting & Job Costing
- Track and reconcile financial activity across multiple projects.
- Support project accounting, job costing and project profitability reporting.
- Review labour, materials, subcontractor and other project-related costs.
- Ensure costs are accurately allocated to the appropriate projects.
- Work with Operations and project teams to identify and correct missing or incorrectly allocated costs.
- Assist with project reconciliations, budgets and variance reporting.
- Help improve visibility into project costs and overall project financial performance.
Accounting Systems & Financial Administration
- Work regularly within QuickBooks Online (QBO) for accounting and financial administration.
- Utilize ADP for payroll processing and payroll-related reporting.
- Work with Arrivy and other project and operational systems used across the business.
- Assist with month-end reconciliations and reporting.
- Maintain accurate and consistent financial information across multiple systems.
- Support data entry, reporting and general accounting administration.
- Identify opportunities to streamline financial processes and reduce manual administration.
- Provide additional support to the Finance team as required.
What We’re Looking For
- 3–5 years of experience in accounting, finance, payroll or a similar financial administration role.
- Hands-on experience using QuickBooks Online (QBO).
- Experience processing or administering payroll through ADP.
- Strong accounts payable experience.
- Experience with project accounting and/or job costing.
- Working knowledge of payroll and employment standards requirements in BC, Alberta, Nova Scotia and New Brunswick.
- Experience in construction, solar, renewable energy, electrical contracting, HVAC or another project-based/field-service business is strongly preferred.
- Experience with Arrivy is considered an asset.
- Strong Excel skills and confidence working across multiple software platforms.
- Excellent attention to detail and ability to identify and resolve discrepancies.
- Strong organizational and time-management skills.
- Comfortable following up with Operations, employees, vendors and project teams to obtain required information.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Comfortable working independently while remaining connected to a collaborative team.
What Will Make You Successful
You understand that accounting in a project-based business goes beyond processing transactions. You are comfortable looking at payroll, labour, vendor invoices, material costs and project expenses and asking whether everything has been coded, allocated and processed correctly.
You are detail-oriented, practical and willing to dig into discrepancies rather than simply process what is in front of you. You are equally comfortable working with Finance as you are following up with a project manager or field team to get the information you need.
