Position Title: Coordinator, Youth Programs
Location: Robert Lee YMCA (955 Burrard St, Vancouver, BC V6E 0B1) or Tong Louie YMCA (14988 57 Ave, Surrey, BC V3S 7S6); hybrid
Term: Temporary, Full-Time
Hours: 35 hours per week
Shift: Monday-Friday, with some evenings and weekends based on program requirements
Start Date: As soon as possible
End Date: March 31, 2027 (covering parental leave)
Salary: $53,500-$58,500 annually
Reports To: Supervisor, Newcomers and Youth

Nature & Scope
The Youth coordinator provides leadership to the Youth Exchanges Canada (YEC) and Youth Peace Network (YPN) programs. The coordinator works closely with the YEC Group Leaders to ensure all administrative tasks are completed and that groups enjoy a successful exchange. The coordinator supports all aspects of YPN participants experience in Canada, including travel arrangements, training, program facilitation, ongoing summer check-ins, debriefs, and a final farewell event.
Travel is required to visit various YEC programs throughout Canada, and support training for YPN and check in with Camp Elphinstone staff and YPN participants over the course of the summer.
Major Responsibilities- in this position, you will:

Promote the Programs to new communities and groups in their region. Connect with YMCAs internationally to promote YPN.

Meets with groups in their region and gathers feedback directly to identify mechanisms to further enhance the Program.

Has ongoing communication with Group Leaders engaged in the program and supports them with preparing appropriate, engaging and safe host plans.

Identifying potential risks to the Program and participants and developing emergency and contingency plans.

Developing a program budget and reviewing fundraising progress.

Ensuring that Group Leaders are communicating well with their exchange counterpart.

Helping groups with host family or common stay preparations, including required insurance certificates, assisting groups with special measures funding requests, reviewing consent forms and participant contracts.

Emphasizing the need for cultural sensitivity when making hosting and travel plans, providing a liaison with Camp staff and supporting YPN participants.

Establishes timelines for Group Leaders to ensure that all administrative and programming requirements are completed with ample time for necessary revisions.

Follows up with groups in their region post-exchange either in-person or on the telephone, shortly after the last phase of the exchange.

Support reporting requirements, tracking particpant numbers and providing feedback and problem solving to enhance program delivery.

Recruitment and selection of YPN participants; complete all administrative duties related to work visas, applications, individual and group travel arrangements, and reporting requirements

Support delivery of virtual live sessions for YPN participants, including and not limited to orientation activities and cultural events

Provide face-to-face and virtual support to YEC and YPN program participants as needed
Qualification-you bring:
-
2 years of relevant experience or equivalent combination of education and experience, demonstrating progressive responsibility

Well-developed interpersonal skills with ability to establish rapport with participants, staff and volunteers

Strong experience with logistics and administrative tasks, an organized and effective approach for the multiple tasks required.

Strong written and verbal communication skills

Ability to manage multiple priorities, take initiative, and work effectively both independently and within a team‑based environment.

Proficiency in Microsoft Office applications, including SharePoint, Excel, Word, and PowerPoint

Successful candidate will be required to provide 3 satisfactory references

Successful candidates will be required to provide a current and satisfactory Criminal Record check with a Vulnerable sector search issued no later than six (6) months preceding the start date.
