About The Role:

Civida is searching for a temporary (6 months) Facilities Maintenance Coordinator. The Facilities Maintenance Coordinator supports the daily operations of Civida’s Facilities department by coordinating maintenance activities and communications. This role serves as the main contact between tenants, managers, and maintenance staff or vendors, ensuring timely responses to service requests, accurate documentation, and efficient scheduling. The coordinator helps maintain safety and quality standards, supports tenant satisfaction, and contributes to the effective upkeep of Civida’s properties. Key Responsibilities:

Respond to inquiries from staff, clients and the public and redirect as necessary.
Communicate with tenants regarding maintenance work via phone and email; create tenant notices and tenant letters for distribution.
Liaise with tenants regarding maintenance issues and escalate social concerns to the district teams.
Respond to tenant phone calls demonstrating a strong customer service focus and professionalism with customers, contractors, stakeholders and co-workers.
Order and/or copy all maintenance related forms and letters.
Review and follow up on Alberta Health Services reports and Bylaw notifications, addressing issues in accordance with policy.
Manage high-water notifications, liaising with tenants and Maintenance Technicians.
Review and create work orders from security and after-hours reports.
Support the site team by answering maintenance calls.
Liaise with the district teams to coordinate posting of notices to enter and share information related to maintenance work and requests.
Create and assign work, purchase or change orders to approved vendors for day-to-day maintenance in accordance with established policies and procedures.
Review tenant history, including memos and alerts, to document safety-related concerns on work orders.
Triage work orders from the call center, assigning them to the appropriate Maintenance Technician or Trades team members.
Balance work order distribution across Maintenance Technicians, reallocating work orders to ensure balanced workloads.
Follow up with vendors and/or Maintenance Technicians/Trades team members regarding scheduling and completion of work orders (e.g. appliance delivery, plumbing, etc.).
Maintain knowledge of all current vendor contracts, scope of work, and pricing to ensure proper assignment and issuance of maintenance work.
Conduct an initial review of tenant history, provide recommendations to the Manager, Facilities and Maintenance, and draft written responses to tenants.
Participate in 2nd appeal review with Manager, Facilities and Maintenance.

Qualifications:

Completion of high school diploma is required.
Minimum four (4) years of related experience required, preferably in property management and/or housing industry.
Equivalency is a diploma plus two (2) years of related experience.
Strong knowledge of the Residential Tenancies Act and related regulations.
Understanding of applicable legislation and regulations including the Fire Code, Building Code, and City Bylaws.
Excellent oral, written, and interpersonal communication skills.
Understanding of contract documents and tender agreements.
Ability to multi-task and manage competing priorities.
Strong conflict resolution skills and the ability to reach appropriate outcomes.
Strong customer service skills with the ability to remain professional and non-judgmental.
Proficient in Microsoft Office applications with the ability to learn new software systems.
Strong prioritization, time management, and multi-tasking skills to meet deadlines.
Knowledge of residential building maintenance, including both demand and preventative practices.
Working knowledge of basic accounting principles.
Occasional use of a personal vehicle for work purposes is required.
