Position Summary
The Human Resources Coordinator provides day-to-day support for all Human Resources activities within the Canadian operations. This position serves as a key resource for employees and leaders by assisting with employee relations matters, HR administration, recruitment, onboarding, payroll support, policy administration, and process improvement initiatives.
The Human Resources Coordinator will play an important role in the implementation of a new HR and payroll system. This role also serves as a backup for payroll administration and works closely with management to ensure compliance with applicable employment legislation and company policies.
Key Responsibilities
Employee Relations & Employee Support
- Serve as a first point of contact for employee HR inquiries and concerns.
- Assist with employee relations matters, including attendance issues, workplace concerns, performance management documentation, and policy interpretation.
- Support managers in addressing employee issues in a fair, consistent, and legally compliant manner.
- Maintain confidentiality while handling sensitive employee information.
- Assist with employee communications and engagement initiatives.
HR Administration
- Coordinate onboarding and orientation activities for new employees.
- Prepare employment-related documentation including offer letters, status changes, disciplinary documentation, and employment confirmations.
- Maintain employee personnel files and HR records.
- Ensure HR documentation is accurate, complete, and compliant with company standards and applicable legislation.
- Assist with benefits administration activities.
HR Systems & Process Improvement
- Support implementation and ongoing administration of new HR/payroll systems.
- Develop and maintain standard operating procedures and HR process documentation.
- Generate HR reports and workforce metrics as needed.
Payroll Support
- Serve as backup for payroll processing and related activities.
- Assist with payroll data entry, employee changes, timekeeping verification, and payroll audits.
- Support payroll compliance with applicable federal and provincial requirements.
Recruitment & Talent Support
- Coordinate recruiting activities including job postings, interview scheduling, candidate communication, and onboarding.
- Assist managers with hiring processes and recruitment administration.
- Support workforce planning and talent acquisition initiatives as needed.
Compliance & Policy Administration
- Assist in ensuring compliance with Ontario employment legislation and company policies/handbook.
- Support administration of leaves of absence, accommodations, and employee records management.
- Participate in HR audits and compliance reviews.
- Assist with policy updates and communication of HR programs.
Knowledge, Skills & Competencies

· Proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook.
· Experience with HRIS and payroll systems preferred.
· Knowledge of Ontario employment standards and HR best practices preferred.
Education and Experience
· College diploma or university degree in Human Resources, Business Administration, or a related field preferred.
· CHRP designation or working toward designation is considered an asset.
· Minimum of 2-4 years of progressive Human Resources experience.
· Experience supporting employee relations, HR administration, and payroll activities preferred.
· Experience in a manufacturing environment preferred.
Working Conditions
· Primarily office-based within a manufacturing environment.
