Role and Responsibilities
We are seeking a highly organized, proactive, and professional individual to join our organization in a permanent full-time role as Executive Assistant. Reporting directly to the Chief Executive Officer, this role provides confidential administrative and executive support to the CEO while serving as a key point of coordination for the Executive Leadership Team. Based out of the Rosetown Administrative Complex, the Executive Assistant plays an essential role in ensuring the efficient operation of the executive office and supporting organizational priorities through exceptional communication, coordination, and administrative expertise.
This role will be responsible for the following:
- Executive Support & Office Management: Provide confidential comprehensive, reliable and proactive administrative support to the Chief Executive Officer, including managing calendars, scheduling meetings, coordinating travel, preparing correspondence, and handling confidential information with professionalism and discretion.
- Board & Committee Administration: Assist the Governance Specialist with Board committee meetings, including preparing agendas, assembling meeting packages, recording and distributing minutes, and maintaining official records. Co-manage the board portal in partnership with the Governance Specialist and provide administrative and technical support to Board members as required.
- Communication & Relationship Management: Serve as a primary point of contact for the CEO, responding to inquiries, coordinating internal and external communications, and fostering positive working relationships with directors, employees, members, stakeholders, and external partners.
- Project Coordination & Organizational Support: Assist with planning and coordinating organizational initiatives, executive projects, meetings, events, and the Annual General Meeting. Support the Executive Leadership Team with administrative tasks, document preparation, and project tracking while ensuring deadlines and organizational priorities are met.
- Administrative Operations: Maintain filing systems, records management processes, expense reporting, and office documentation. Assist with developing presentations, reports, and briefing materials while identifying opportunities to improve administrative processes and efficiencies.
Qualifications
- High school diploma or GED required; post-secondary education in Business Administration, Office Administration, or a related field is considered an asset
- Minimum of three years' experience providing executive-level administrative support, preferably supporting senior leadership or a Board of Directors
- Exceptional organizational and time management skills with the ability to manage multiple priorities while maintaining strict confidentiality
- Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort using digital collaboration and board management platforms
- Excellent interpersonal, written, and verbal communication skills
- Strong attention to detail, sound judgment, and the ability to work independently in a fast-paced environment
