Project Administrator – Daily LEMS & Operations Support

Position Summary

We are looking for a highly organized Operations Administrator to support our growing field operations. The primary responsibility of this position is the completion and submission of daily Labour, Equipment and Material Sheets (LEMS), ensuring all labour, equipment, and material usage is accurately captured, properly cost coded, and submitted accurately each day.

This is a fast-paced role requiring excellent attention to detail, strong organizational skills, and the ability to work closely with supervisors and field personnel to gather information and meet strict daily deadlines.

Key Responsibilities

Complete and submit daily Labour, Equipment and Material Sheets (LEMS).
Collect labour, equipment, and material information from supervisors and field staff.
Ensure all labour, equipment, and material entries are accurately allocated to the appropriate project, cost code, and work activity.
Review daily reports for accuracy, completeness, and proper cost code allocation.
Follow up on missing or incomplete information to ensure daily reporting deadlines are met.
Verify labour hours, equipment utilization, materials, and cost coding prior to submission.
Review subcontractor LEMS and invoices to ensure they accurately match submitted LZ Resources Group LEMS, approved rates, cost codes, and supporting documentation prior to processing.
Identify and resolve discrepancies with subcontractors, supervisors, and project management before invoices are approved for payment.
Maintain organized records of daily reports and supporting documentation.
Assist with payroll and invoicing by ensuring field information is complete and accurate.
Support scheduling, camp coordination, and other operational administrative tasks as required.
Maintain accurate electronic filing and operational records.
Communicate professionally with employees, supervisors, subcontractors, and clients.
Perform general administrative duties in support of field operations.

Qualifications

Previous administrative experience, preferably in civil construction, heavy equipment, infrastructure, or a related industry.
Experience completing Labour, Equipment and Material Sheets (LEMS) or similar daily field reporting.
Exceptional attention to detail and a high degree of accuracy.
Strong organizational and time management skills.
Ability to manage multiple priorities while working under daily deadlines.
Excellent communication and interpersonal skills.
Proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
Ability to work independently while collaborating effectively with field teams.

Preferred Qualifications

Experience completing Labour, Equipment and Material Sheets (LEMS) or similar daily field reporting.
Experience reviewing subcontractor invoices, time records, or job costing documentation.
Experience supporting civil construction or heavy equipment operations.
Familiarity with payroll, timekeeping, job costing, project cost coding, or project administration.
Experience working with electronic reporting or document management systems.
