Reporting to the Manager, Philanthropy and Engagement within the Philanthropy and Engagement team, the Development Officer – Donor Awards coordinates the University’s donor-funded awards portfolio and supports stewardship initiatives that strengthen relationships with donors, students, alumni, and community partners.
Working collaboratively across the University, the incumbent serves as the primary coordinator for donor-funded awards, including the establishment, maintenance, monitoring, and stewardship of annual and endowed awards. The role ensures donor intent is accurately documented and fulfilled, supports award-related communications and reporting, and facilitates meaningful engagement opportunities that demonstrate the impact of philanthropy at the University of Northern British Columbia (UNBC).
As a member of the Philanthropy and Engagement team, the Development Officer contributes to donor relations, stewardship activities, sponsorship coordination, fundraising initiatives, and advancement operations that support the University’s strategic priorities, including increasing donor-funded student support. This position requires strong organizational and relationship management skills, attention to detail, sound judgment, ethics, and the ability to coordinate multiple priorities in a collaborative and service-oriented environment.
This is a two-year term, full-time position within the CUPE Local 3799 and is an on-campus position, based at the Prince George campus.
Responsibilities
Donor-Funded Awards Coordination
- Coordinating the administration and stewardship of donor-funded annual and endowed awards;
- Serving as the primary liaison between donors, Awards & Financial Aid, Finance, academic units, and Philanthropy & Engagement regarding donor-funded awards;
- Coordinating the creation, review, revision, approval, and maintenance of award terms and conditions and related documentation;
- Providing financial oversight of endowed and annual award funds to ensure fiscal responsibility and accurate fund management;
- Tracking award utilization, reporting requirements, and stewardship activities to ensure timely follow-up and continuity;
- Facilitating donor and student engagement opportunities related to awards, including thank-you letters and recognition initiatives; and
- Acting as the Philanthropy & Engagement representative on applicable governance committees to facilitate donor-funded award approvals.
Stewardship and Donor Relations
- Coordinating stewardship initiatives that communicate the impact of philanthropy and strengthen donor relationships;
- Preparing and coordinating donor impact reports, endowment reports, annual reports and stewardship communications;
- Maintaining accurate donor and award records within the fundraising database and related systems;
- Supporting gift agreement implementation and documentation in collaboration with Philanthropy and Engagement colleagues;
- Assisting with donor recognition and acknowledgement activities, including correspondence, events, and engagement opportunities; and
- Contributing to the development and implementation of stewardship plans for donors and community partners.
Fundraising and Alumni Engagement Support
- Supporting fundraising initiatives and sponsorship activities aligned with university priorities;
- Assisting with the coordination of donor and alumni engagement events and activities;
- Collaborating with Philanthropy and Engagement colleagues to support integrated fundraising and alumni engagement strategies;
- Supporting prospect tracking, donor communications, and relationship management activities; and
- Contributing to projects and initiatives that enhance donor engagement and philanthropic support for the University.
Data Management and Administration
- Maintaining accurate, confidential, and up-to-date records in the Philanthropy & Engagement databases and related systems;
- Generating reports, track metrics, and support data-informed decision-making related to donor-funded awards and stewardship activities;
- Monitoring workflows, timelines, and administrative processes to support operational effectiveness; and
- Supporting budget tracking and reconciliation for assigned initiatives and activities.
Collaboration and Institutional Engagement
- Building and maintaining positive working relationships with internal and external partners;
- Collaborating with Marketing and Communications to support consistent messaging and alignment with institutional branding standards;
- Participating in departmental planning and continuous improvement initiatives; and
- Other related duties consistent with the classification and scope of the position.
Qualifications
- Undergraduate degree in business, communications, public administration, nonprofit management, or a related field;
- Minimum five years of related professional experience in advancement, donor relations; stewardship, awards administration, nonprofit administration, relationship management, or a related field;
- Experience in a post-secondary, nonprofit, or public sector environment;
- An equivalent combination of education and experience will be considered; and
- Professional development or training through organizations such as the Association of Fundraising Professionals (AFP), Canadian Council for Advancement of Education (CCAE), or Council for Advancement and Support of Education (CASE) is considered an asset.
Knowledge
- Knowledge of fundraising, stewardship, donor relations, and advancement practices;
- Familiarity with relational databases, records management, and reporting practices;
- Understanding of confidentiality requirements and the importance of data integrity;
- Understanding of donor-funded awards, endowments, and charitable giving principles; and
- Knowledge of post-secondary administration and university environments.
Skills
- Exceptional organizational and coordination skills with strong attention to detail;
- Strong written and verbal communication skills, including the ability to prepare professional correspondence and donor communications;
- Demonstrated interpersonal and relationship-building skills with the ability to work effectively with diverse partners;
- Strong analytical, problem-solving, and administrative skills; and
- Proficiency with Microsoft Office applications and fundraising/database systems.

Salary
This position has been classified at a Grade 11. The annual salary range for this position is $77,768.60 to $80,990.00and the normal starting salary will be $77,768.60, pro- rated based on length of the term.
