The Role
Access Community Services has an exciting full-time (40 hrs) opportunity for a Program and Human Resources Administrator within our Operations team. Working collaboratively with the Access Community management team and reporting to the Director of Operations, this role will provide administrative support for the agency’s Operations and Human Resources functions. The Program and HR Administrator will support the delivery of high-quality services across Access Community Services programs by helping maintain legislative compliance, uphold best practices, and advance the agency’s mission and vision. Key Responsibilities
Scheduling & Workforce Coordination –
- Prepare and manage the schedule for all unionized staff in a 24/7 support model
- Ensure shift coverage for each location, manage call‑ins, vacation requests, and emergent scheduling needs
- Maintain accurate scheduling documentation to support payroll accuracy
- Support key Human Resources functions -
- Recruitment, onboarding
- Internal file/database management
Program & Office Administration -
- Maintain program files, documentation, and digital records in accordance with policies and Quality Assurance Measures
- Provide administrative support for grant writing
- Track program data; prepare reports
Community Events and Engagement -
- Assist with planning, logistics, and promotion of community events, agency celebrations, and engagement activities
Required Qualifications
- Post secondary diploma in Business Administration/Human Resources
- Minimum 3+ years of related experience, preferably in a unionized environment
- Proficiency with Microsoft Office (Excel, Word, PowerPoint), databases, and digital tools
- Excellent verbal and written communication skills
- Ability to maintain confidentiality and prioritize work based on deadlines and importance
- Interpersonal skills to work with staff, managers and clients
- Problem‑solving and initiative
- Experience in the nonprofit sector with MCCSS-funded programs, QAM, or case management systems is an asset
- Experience with social media management, and marketing is an asset
What We Offer
- Salary Range: $54,000.00 - $56,000.00
