Job Description:
The Membership & Communications Coordinator plays a key role in supporting member engagement and organizational operations. The successful candidate will be a collaborative, resourceful, and detail-oriented professional with strong interpersonal skills, a positive attitude, and a proactive approach. This position requires flexibility to support occasional evening and weekend meetings, events, and community activities in alignment with Chamber initiatives and goals.
Key Responsibilities:
· Serve as a primary point of contact for member and public inquiries, ensuring timely and professional responses.
· Manage the new member onboarding process, welcoming and engaging new members and providing key information, resources, and connections.
· Maintain accurate membership records, including the Active Member List, membership directory, and member database.
· Prepare and distribute member invoices, track payments, and assist with collections and membership renewals.
· Create, schedule, and publish content across Chamber social media channels.
· Update and maintain the Chamber website, ensuring content is current, accurate, and engaging.
· Create, edit, and distribute weekly newsletters, e-blasts, and other member communications.
· Track and record website, newsletter, email marketing, and social media analytics.
· Organize and maintain the Chamber's digital storage systems and shared files.
· Coordinate and support Chamber events, including Business After-Hours networking events and other Chamber-led initiatives.
· Liaise with host businesses and event partners to plan and organize networking events and member engagement opportunities.
· Assist with the marketing, promotion, and administration of Chamber programs and events, including but notlimited to the Gravenhurst Car Show, Gravenhurst Santa Claus Parade, Gravenhurst Autumn Arts Tour and Business After-Hours Socials.
· Monitor inventory and order office supplies as required.
· Support routine office operations, including filing, record keeping, answering phones, customer service, and office organization.
· Assist with maintaining a welcoming, professional, and efficient office environment.
· Participate in Chamber meetings, community events, and networking opportunities as required.
· Other duties as assigned.
Skills & Qualifications:
· Post-secondary education in Business, Communications, Marketing, Office Administration, Event Management, or a related field; equivalent experience will be considered.
· Exceptional verbal and written communication, editing, and proofreading skills.
· Experience managing social media platforms, websites, email marketing, and digital communications.
· Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
· Experience with or willingness to learn Squarespace, Mailchimp, QuickBooks, Microsoft Office, and other business software.
· Strong attention to detail and commitment to maintaining accurate records and data.
· Ability to work independently while contributing positively to a collaborative team environment.
· Strong customer service, relationship-building, and interpersonal skills.
· Proactive problem-solving skills and ability to exercise sound judgment.
· Adaptable and comfortable working in a fast-paced, evolving environment.
· Valid Ontario driver's license and access to a reliable vehicle.
Working Conditions & Physical Requirements:
· Available to work full-time, with the flexibility to work in the evenings and on weekends when necessary.
· Willingness and ability to move around Gravenhurst for various events and activities – on foot, bicycle, or driving - is important. Mileage paid if you’re driving.
· Requirement for sufficient physical ability and mobility to work in an office setting and in a special event environment; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; walk on uneven terrain, loose soil, and sloped surfaces; to lift, carry, push, and/or pull moderate to heavy amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordinationincluding use of a computer keyboard; to travel to other locations; to operate equipment and vehicle.
