Anna Turner of RE/MAX Hallmark Realty Group, a trusted leader in Ottawa real estate for over 50 years, is seeking a licensed Buyer’s Agent / Real Estate Assistant to support buyer clients while assisting with transactions, marketing, and systems that power a high-performing real estate practice.
This hybrid role is ideal for a motivated Realtor® who enjoys working directly with buyers, values structure and professionalism, and wants to grow under the mentorship of a highly respected industry leader.
About the Role
This position blends buyer representation, transaction coordination, and operational support. You will work closely with Anna Turner and her team, representing buyers from first showing to closing while also contributing to marketing, systems, and client care that uphold the Anna Turner Signature Homes standard.
Key Responsibilities Buyer Representation
- Work directly with buyers from first contact to closing, following Anna Turner Signature Homes brand standards.
- Schedule and conduct buyer showings; gather feedback and refine property searches.
- Prepare Comparative Market Analyses (CMAs) and buyer guidance materials.
- Draft and negotiate offers, manage conditions, and communicate with cooperating agents.
- Attend inspections, appraisals, and final walkthroughs as required.
- Ensure every buyer experience reflects professionalism, care, and integrity.
Administrative & Transaction Support
- Prepare, manage, and submit all buyer and listing documentation (OREA forms, FINTRAC, RECO, MLS uploads).
- Track deadlines, conditions, and deposits to ensure smooth closings.
- Maintain organized digital transaction files and checklists.
- Liaise with lawyers, mortgage brokers, inspectors, stagers, photographers, and other professionals.
- Support compliance requirements for RE/MAX Hallmark Realty Group.
Marketing & Systems Support
- Assist with listing and buyer marketing using Canva (feature sheets, social posts, postcards).
- Support social media posting across Instagram, Facebook, LinkedIn, and RE/MAX platforms.
- Help create and distribute newsletters and email campaigns via Mailchimp.
- Maintain CRM systems (IXACT Contact and/or Follow Up Boss) including tagging and follow-up workflows.
- Contribute ideas to enhance brand presence in Rothwell Heights, Beacon Hill, and greater Ottawa.
Client Care & Office Support
- Provide polished, professional client communication by phone, email, and in person.
- Coordinate showing schedules, access instructions, and follow-up feedback.
- Assist with open house preparation, legacy marketing, and seller “Prep for Success” materials.
- Maintain confidentiality, discretion, and a high standard of professionalism at all times.
Qualifications
- Must be a licensed Realtor® in Ontario (or actively completing licensing).
- Minimum 2 years of experience in residential real estate (sales and/or licensed assistant role preferred).
- Strong written and verbal communication skills.
- Highly organized with excellent attention to detail and follow-through.
- Tech-savvy and comfortable using:
- BrokerBay, Stratus, WebForms, CREA tools
- Canva, Mailchimp, Google Workspace
- IXACT Contact and/or Follow Up Boss
- Positive, proactive attitude with a genuine commitment to client service.
- Valid driver’s license and reliable vehicle required.
