Hospitality Resorts Inc. is a privately-owned hotel investment, development and management company that has been active in the Niagara, Ontario, hotel and restaurant industry for more than 40 years. The Construction Administrator will support the team to ensure that the administrative aspects of the project(s) are performed accurately and on time. Maintains working relationships with team members, stakeholders, and other departments involved in the projects.

Please note: This is a 1-year contract position beginning on August 3rd, 2026.

General Responsibilities:

Organize meetings, special events, appointments, and travel for the construction management team.
Review and approve bi-weekly payroll for the construction department.
Coordinate with the Finance Department to obtain approvals and signatures for cheques.
Maintain and update expense tracking spreadsheets and related financial records.
Assist with the organization and filing of invoices, purchase orders, and payment documentation.
Review, organize, and maintain construction project proposals, specifications, contracts, and supporting documentation.
Track project-related documents and ensure records are current and accessible.
Obtain pricing quotations from suppliers based on project specifications and requirements.
Purchase construction materials, furnishings and furniture, while coordinating with vendors and suppliers to ensure timely order processing and delivery.
Assess, establish and maintain data management systems to ensure organized electronic and paper records for the project.
Assist with preparation of project communications and monthly reports.
Support day-to-day office operations and administrative functions as required.

Qualifications:

Post Secondary Education in an Executive Assistant or related program.
2+ years in a related field with administration experience.
Excellent interpersonal, communication, and organizational skills.
Demonstrated ability to manage complex and concurrent administrative duties, meet deadlines and manage change is essential.
Able to work in a fast-paced environment, prioritize activities and be detail oriented
Ability to work independently and as a team player.
Must be able to communicate effectively in English; written and verbal
Understanding of construction materials, methods and processes.
Well versed in Microsoft Office Suite, especially Excel.
