Reporting to the Procurement Manager, the Procurement Administrator is responsible for complex administrative support duties in all procurement systems. They provide support to Buyers, Order Administrators, Expeditors, Procurement Engineering and Management. They handle and safeguard sensitive financial information on behalf of the Procurement department. Duties below are assigned depending on the business needs in support of Project and Services.

Clerical duties related to procurement activities, including requisitions, POs, COs, distribution, and filing.

Support procurement management and quality management with reporting and general duties.

Process Non-Disclosure Agreements (NDAs).

Act as custodian of the proposal submission inbox.

Perform material control administration in support of procurement engineering.

Register supplier documentation in the document management system.

Provide support to logistics operations.

Handle invoicing and accounts payable activities, interfacing with finance and shared services (AP).

Create and issue small-dollar, best commercial goods purchase orders, including punch-out and PCard purchases.

Post-Secondary or equivalent work experience or transferrable skills.

Administrative experience in a busy office environment.

Experience with administrative duties in a procurement environment is an asset.

Exceptional time management skills required.

Proficient in database entry, MS Word, MS Excel, and MS PowerPoint.

Ability to work in a fast-paced, project environment, supporting multiple customers, including handling repetitive tasks.

Ability to work independently and manage the influx of procurement requests while maintaining project timelines and deadlines.

Must be a professional team player, with the ability to work collaboratively with colleagues.

Ability to quickly learn new tasks within short timeframes.

Ability to follow directions from management and critical stakeholders.
