School Administrative Secretary III – Burnaby Mountain Secondary
Temporary full-time (35 hours/week) until return of incumbent
The School Administrative Secretary III acts as the confidential secretary to the Administrator(s) and performs a variety of clerical duties to ensure the efficient operation of the school office. The School Administrative Secretary III has supervisory responsibilities for the support staff and relieves the Administrator of organizational detail wherever possible by dealing with matters not requiring the Administrator's personal attention.
This is a temporary position until return of incumbent. The hours of work are 08:00-15:30.
Duties and Responsibilities:
- Acts as a secretary for the Administrator(s) by processing confidential material, scheduling appointments, arranging meetings, preparing agendas, taking/transcribing and distributing minutes, composing routine correspondence, checking attendance, requesting replacement employees, and providing orientation to replacement staff.
- Supervises, coordinates and participates in the work of office support staff.
- Monitors and audits school records to ensure that graduation requirements are met; ensures academic/medical files are filed/stored as per District policy; prepares related ministry forms; coordinates distribution of government examinations and assists with school leaving activities such as scholarships and awards.
- Coordinates student registrations by performing duties such as examining and verifying supporting documents, and ensuring complete and accurate information is obtained for registrants. Prepares and sends out transcripts/school records.
- Assists in maintaining school website and portal.
- Processes work orders and Web TMA.
- Coordinates the requisition of office supplies and general orders.
- Performs a variety of reception duties.
- Coordinates facility rentals, special events, and pro-d functions.
Successful applicants must have:
- Completion of Grade 12 or equivalent.
- Courses in computer software applications plus four years related work experience or an equivalent combination of training and/or experience.
- Demonstrated ability to type at a minimum speed of 60 wpm net.
- Demonstrated ability to supervise.
- Thorough knowledge of computer operation and software applications related to work performed.
- Thorough knowledge of basic bookkeeping, office procedures and school routines.
- Thorough knowledge of safety procedures related to work performed.
- Ability to communicate effectively at the level required for the job.
- Physical ability to perform the duties and responsibilities of the job.
- Demonstrated ability to work at the level of independence and with the degree of initiative appropriate to the position.
