Recruitment Partner: Verve Recruitment Group

Verve Recruitment Group is recruiting for a detail-oriented and highly organized Project Coordinator to join a fast-paced organization in the restoration and insurance claims industry.

This role serves as a critical support function to Project Managers and operations teams, ensuring claims are processed accurately, compliance requirements are met, and customers receive exceptional service throughout the claims process.

What You'll Do

Claims Administration

Create and maintain digital and physical job files.
Collect customer work authorizations and deductible payments.
Generate purchase orders for subcontractors and vendors.
Follow up on subcontractor quotes, reports, and invoices.
Maintain accurate project documentation and records.
Assist with job cost reconciliation and final invoicing.
Complete invoicing checklists and submit files for approval.
Support monthly production reporting and billing targets.

Compliance Administration

Monitor job status updates within claims management systems.
Ensure milestone dates are entered accurately and on time.
Support Project Managers in responding to adjuster requests.
Upload and provide documentation to insurance partners.
Track and compile customer satisfaction survey information.
Ensure compliance with insurance company service-level agreements (SLAs).

Claims Intake & Assignment

Monitor incoming claim assignments from multiple sources.
Assign claims to Project Managers.
Conduct initial customer courtesy calls.
Gather claim information and complete intake documentation.
Enter new claims into internal claims management systems.
Participate in the after-hours on-call administrator rotation.

Reception & Office Administration

Answer and direct incoming phone calls.
Welcome visitors and provide front-office support.
Process customer payments.
Manage incoming and outgoing mail and courier services.
Coordinate deliveries and office supplies.
Maintain boardroom and reception area presentation.
Support day-to-day office operations.

What We're Looking For

Previous experience in project coordination, office administration, insurance, restoration, construction, property management, or a related field.
Strong organizational and multitasking abilities.
Exceptional attention to detail and accuracy.
Excellent customer service and communication skills.
Comfortable working in a fast-paced environment with shifting priorities.
Proficiency with Microsoft Office, including Outlook, Word, and Excel.
Ability to learn and navigate multiple software systems.
Strong problem-solving and follow-up skills.
Professional and positive attitude.
