We are seeking a highly organized, professional, and proactive Chief Assistant to support the leadership team at Highway King Transport in various administrative, operational, and communication functions. This role is ideal for a detail-oriented individual who thrives in a fast-paced environment and is comfortable managing multiple priorities while serving as a trusted right-hand person to company leadership.

The Chief Assistant will play a vital role in managing daily tasks, coordinating communications, organizing business files, and ensuring smooth day-to-day operations within the company.

Duties

Manage and organize company emails, correspondence, and business communications.
Communicate professionally with customers, lawyers, accountants, lenders, suppliers, and other business partners.
Assist company leadership with daily administrative and operational tasks.
Organize and maintain digital and physical files for efficient workflow and record keeping.
Schedule meetings, appointments, and manage calendars.
Track projects, deadlines, and follow up on outstanding items.
Prepare letters, reports, documents, and other business materials.
Assist with document collection and paperwork for ongoing projects and transactions.
Support customer service inquiries and maintain professional relationships with clients.
Coordinate with various stakeholders to ensure projects and tasks are completed efficiently.
Help improve office systems, processes, and overall productivity.
Perform additional administrative duties as required.

Requirements

Fluent in written and spoken English.
Excellent communication and interpersonal skills.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Proficient in computer programs, including Microsoft Excel, Word, Outlook, PowerPoint, and Google Workspace.
Comfortable using email platforms, cloud-based storage systems, and digital file management tools.
Strong attention to detail and problem-solving abilities.
Ability to work independently, take initiative, and maintain confidentiality.
Professional, reliable, and adaptable in a fast-paced environment.
Prior experience in administration, executive assistance, office management, customer service, legal administration, or transportation/logistics is considered an asset.
