You're organized because you genuinely like things organized. Contracts have a place. Payment schedules are tracked. Receipts don't disappear. Deadlines aren't forgotten. And when someone asks you where something stands, you can give them an answer.

We're not looking for someone who needs to be given a list every morning. We're looking for someone who eventually knows the financial side of our companies well enough to tell us what needs attention. Someone who wants a hybrid accounting position with more than just data entry.

About the Role
We operate multiple growing businesses, primarily within the construction, contracting, and property management industries.
We're looking for an experienced Senior Bookkeeper & Project Finance Coordinator who can take ownership of the day-to-day financial organization of these companies while also working closely with ownership and Project Managers on the financial performance of our construction projects.
This is not strictly a bookkeeping position.
The role sits between bookkeeping, project finance, financial management, administration, and project management support.
You'll work directly with ownership, management, Project Managers, employees, subcontractors, vendors, and our external accountants.
What You'll Own-Bookkeeping & Financial Administration
- Manage accounts payable and accounts receivable, including invoicing, payments, and collections
- Perform regular bank and credit card reconciliations
- Maintain accurate financial records for multiple companies in QuickBooks Online
- Record and categorize transactions, expenses, and intercompany activity
- Process payroll and government remittances, including GST/HST tracking and Source Deductions reporting
- Maintain vendor and customer accounts and records
- Track contracts, payment schedules, deposits, progress payments, holdbacks, and outstanding balances
- Proactively follow up on outstanding payments and overdue accounts
Project Finance & Profitability
This is where the position goes beyond traditional bookkeeping.
You'll work closely with our Project Managers and ownership to understand where each project actually stands financially.
- Maintain detailed job costing across multiple active construction projects
- Track labour, subcontractors, materials, equipment, and other project expenses
- Track employee and subcontractor hours by project
- Monitor project budgets against actual costs
- Maintain project-level profit & loss reporting
- Track committed costs and upcoming project expenses
- Track progress billing and project payments
- Assist with forecasting estimated costs to complete
- Identify cost overruns and profitability concerns
- Flag projects that are trending over budget or behind on billing
- Help ownership understand where projects are making or losing money
We don't want to find out at the end of a project that it wasn't profitable.
Part of your job is helping us know while it's happening.
Project Management & Administrative Support
You'll also help keep the administrative side of our projects moving.
- Track contracts and payment schedules
- Follow up on required payments
- Assist with subcontractor booking and coordination
- Track subcontractor commitments and required documentation
- Assist with internal team and labour tracking
- Track change orders, approvals, invoicing, and collections
- Follow up on missing time entries, receipts, invoices, and purchase information
- Help ensure Project Managers are keeping project financial information current
- Maintain organized project financial and administrative records
You won't be expected to run construction projects.
You will be expected to help make sure the financial and administrative side of those projects doesn't fall behind.
Financial Reporting, Cash Flow & Budgeting
- Prepare monthly and quarterly financial reports, including P&L, balance sheet, and cash-flow reporting
- Monitor revenue, expenses, and cash flow across multiple companies
- Monitor upcoming financial obligations
- Assist with forecasting and budgeting
- Track spending against budgets and identify variances
- Support year-end preparation and work with external accountants
- Weekly meetings about financial information and analysis to ownership and management
- Identify discrepancies and financial concerns before they become larger problems

- You want a traditional bookkeeping role where your responsibility ends once the transactions are entered
- You prefer waiting for information rather than actively following up for it
- You need constant direction to determine what needs to be done next
- Managing multiple companies and projects at the same time feels overwhelming
- You're uncomfortable questioning discrepancies or pushing for missing information
- You don't enjoy working closely with Project Managers and operational teams
- You're looking for a position where the responsibilities will remain exactly the same for the next five years
Experience & Qualifications
We're hiring for the person first — but this is still a senior financial position and experience matters.
- 5–10+ years of bookkeeping, accounting, or construction finance experience
- Construction or contracting experience is preferred but not required
- Experience managing multiple sets of books is strongly preferred
- Strong understanding of AP, AR, reconciliations, payroll, financial reporting, and cash flow
- Strong understanding of construction job costing and project financial tracking- or willingness to learn
- Proficiency with QuickBooks Online
- Strong communication and problem-solving skills
- Ability to work independently and take ownership
- CPA designation or equivalent accounting education is considered a strong asset but is not required

- Working directly with ownership on financial strategy and growth
