The School of Engineering seeks qualified undergraduate students for the role of SOE Student Experience Coordinator. This work-study position offers opportunities to develop transferable skills including written and verbal communication, project management, and program development, implementation, and evaluation. The Coordinator will support current and prospective student learning, professional development, and mentorship initiatives, while contributing to the School’s outreach and promotion of STEAM disciplines (Science, Technology, Engineering, Arts, and Mathematics) at UBC Okanagan.

JOB DESCRIPTON
The School of Engineering is seeking qualified undergraduate student applicants for the position of School of Engineering (SOE) Student Experience Coordinator. This work study position will support the enhancement and growth in the following two portfolio areas:1) Bachelor of Applied Science Undergraduate Student Experience and 2) Prospective Student Experience.
Undergraduate Student Experience:
The primary role of this work study position is to assist with the development, coordination, marketing, implementation, and evaluation of experiential learning programs and professional development initiatives within the School of Engineering. This role includes program coordination, networking and collaboration, and high-level communication with a variety of stakeholders.
Prospective Student Experience:
The students will support the design, curriculum planning, logistics, promotion, and organization of recruitment and outreach events for prospective students in Grade 8-12. They will act as an ambassador to young students and UBC prospective students. Leveraging prior knowledge and learning new skills, the students will be encouraged to influence the direction of the recruitment and outreach events portfolio.
Under the guidance and mentorship of the Engineering Admissions Coordinator and Professional Development Officer, the students will be responsible for:
Coordination and being the primary liaison between the various student associations, clubs and Engineering Design Teams’, including supporting the administrative requirements such as, requesting and managing the team’s rosters, leadership training completion, and competition related logistics.
Supporting planning, day-of management, and post-event evaluation of high-profile faculty and industry events including Industry Nights and the UBC Engineering Mentorship program
Creating, updating, and managing written resources and online tools for the Professional Activities Fund.
Developing, organizing and delivering engaging programming for current UBC Okanagan Bachelor of Applied Science students to enhance and further their engineering education experience.
Supporting event organization and planning, including event curriculum, for recruitment and outreach events for a Grade 8-12 audience.
Working closely with SoE Web and Communication Specialists to design and schedule promotional materials for current and prospective student events via social media and printed assets.
Seeking and developing strong relationships with UBC student clubs and associations for event and program support throughout the year
Involvement with the UBC Engineering Open House is required – this is our largest recruitment initiative in the School of Engineering. This will include leadership roles in coordinating the design team and club showcase, event volunteers and providing guidance on how to connect with prospective students.
Supporting UBC events on behalf of the School of Engineering and act as a representative for the School of Engineering and UBC
Performing other duties, as requested by the Engineering Advisor
Supervision and Learning Support:
Students will be primarily supervised by the SoE Engineering Admissions Coordinator, and co-supervised by the Professional Development Officer who will provide guidance and regular feedback
Weekly team meetings will allow for collaboration with peers and mentorship opportunities.
Meetings with supervisors will be scheduled during normal office hours, ensuring structured support. Meeting dates, times and location (in-person or via zoom) will be flexible to accommodate students’ schedules and availability.
Students will have the opportunity to work with several members of the Engineering Academic Services team through the development and implementation of prospective and current student programs allowing for diverse perspectives and support tailored to the project or event.
Supervision will be adaptive, providing autonomy for experienced students while offering detailed guidance for those who require additional support to meet learning objectives.
Work Schedule:
This position offers flexible working hours to accommodate student schedules with the expectation that all team members will participate in weekly team meetings. Meetings will be scheduled in-person or via zoom depending on student schedules and needs throughout the term.
Task Complexity:
The Student Experience Coordinator is required to complete tasks with a moderate level of complexity including curriculum planning, project management, promotion of events, connecting with prospective students and their families at events, and assessing the impact of programming – duties will require significant interpersonal and communication skills. Students will excel in this role if they enjoy working collaboratively, taking initiative, and creative problem solving.
The applicant should be a current UBC Okanagan undergraduate student in the Bachelor of Applied Science (Engineering). Any year level or program of study is suitable.
Ability to communicate effectively with a variety of audiences (students, staff, faculty, industry partners), including strong oral (in-person, phone) and written (email, documentation) communication

Proficiency with Qualtrics and Microsoft Office, including Microsoft Word, Excel, and Outlook an asset
Experience with Canva, Photoshop, Illustrator, InDesign, and/or other graphic tools an asset
Experience or knowledge of the School of Engineering and campus-related leadership or professional development initiatives an asset
Experience creating STEAM (Science, Technology, Engineering, Arts and Math) curriculum for youth (Grade 8-12) would be considered an asset

PERSONAL GROWTH AND DEVELOPMENT:
Upon commencement, the Student Experience Coordinator will have an orientation meeting with their supervisors and work study team to discuss the role and responsibilities of the position together. A comprehensive training package will be provided, covering the responsibilities associated with the position, detailed information about the Faculty of Applied Science, School of Engineering, and UBC Engineering Recruitment, and expectations and guidelines for all methods of communication. Access to all required software and programs will be reviewed with supervisors, and training with applicable team members will be organized to ensure the students are familiar with the tools to be successful in the role. The work study student will develop a personal development plan at the commencement of their role, which will be reflected on during their one-on-one meetings with their supervisor and at a midpoint evaluation. The student will be encouraged to include opportunities for mentorship, professional development, and a personal project. The student will confer with their supervisor about their progress in achieving their personal development plans and are also encouraged to book additional meetings when guidance is required. Throughout the term, the students will participate in 1-2 feedback surveys, including self-reflection components, to evaluate progress. These surveys will be reviewed collaboratively with the supervisors, enabling the creation of action plans to address areas for improvement and ensure continuous professional growth. Weekly meetings will also provide students with a platform to reflect on their experiences, share new ideas, gain insight into their progress, and celebrate their successes.
Project and Event Management (Technical Skills) The student will play a central role in planning, coordinating, and executing faculty programs and events. Responsibilities include managing timelines, organizing applications, preparing review materials, and coordinating event logistics. Learning project management and task organization in platforms such as Excel, Outlook and Project will be useful in project management roles across many professions. Critical Thinking and Creativity (Transferrable Skills) The student will play a vital role in designing engaging STEAM activities that effectively present engineering concepts, inspire students, and spark continued discussion after the event. This will involve reiterative program development considering trending activity themes, time and space constraints, attendee numbers, and resources available. These skills are transferrable to many roles such as engineering, marketing, and business. Professional Communication (Transferrable Skill) The student will strengthen their written and verbal communication by organizing events, coordinating with speakers, leading volunteer training, and gathering feedback. Email correspondence, report creation, and collaboration with faculty, staff, and student groups will further reinforce these skills. Participation in keynote addresses, student panels, and outreach events will refine public speaking skills, enabling students to convey messages confidently, all of which are important skills in engineering, technical writing, and leadership roles. Graphic Design (Technical Skill): The student will learn how to use Canva to design and create assets for events and programs that will be used for both printed and digital promotion. This will build valuable marketing and design skills applicable to careers in product design or entrepreneurship.
The student will expand their professional network by collaborating with UBC departments across both campuses, engineering professionals, and community partners. Through event organization and program support, they will engage with UBC Engineering student teams, faculty, staff, and practicing engineers, fostering significant networking opportunities. They will also participate in interdisciplinary teamwork, working closely with peers, staff and faculty to execute current and prospective student programs and events. These collaborations will expose students to diverse perspectives, strengthen problem-solving abilities, and prepare them for real-world challenges. Through this experience, the student will gain a greater awareness of how a large organization works, enhancing overall job-readiness. The student will be encouraged to participate in key events that support their professional development, including the UBC Engineering On‑Campus Open House, where they will work alongside faculty, staff, and students to plan and execute activities. This involvement will deepen their connections within the School of Engineering and create opportunities for ongoing academic and future career collaboration. They will also engage in School of Engineering Industry Nights, held each Fall and Spring, which provide valuable interactions with engineering professionals, allowing students to learn from experts, exchange ideas, and establish lasting professional relationships. To further support growth, the student will be encouraged to access LinkedIn Learning for skill development, attend leadership conferences, and participate in virtual programs such as the Student Leadership Certification Program and ADVANCE: Women in Engineering virtual event. Interest in additional professional or academic conferences may be supported through the School of Engineering Professional Development Fund.
Hands on Learning:
The Student Experience Coordinator will engage in a variety of hands-on tasks, such as organizing and running engineering events for current and prospective students, speaking on student panels, leading volunteer training sessions and developing event project plans and reports. The students will use software such as MS Outlook, Teams, Zoom, OneDrive, Excel, PowerPoint, and Canva to support their projects and events, preparing them for future employment. Students will create a data management system, tracking student group membership, annual event plans, and resource allocations. Students will also be responsible for writing formal funding related emails including funding confirmations, acceptance agreements, and reimbursement instructions. In this role, students will face real-world challenges such as timely coordination and communication with multiple stakeholders, engaging underrepresented groups, and ensuring that all initiatives uphold core values like equity and inclusion. Additionally, students will face program and event-specific issues, such as managing speaker cancellations, budget updates, addressing delivery delays, and handling over- or under-registration. Students will be supported by their supervisors and other team members as they navigate challenges, ensuring a collaborative and flexible approach to problem-solving. Supervisors will guide the students through event- and program-related challenges, encouraging the students to develop and share their own solutions. These solutions will be discussed and refined in collaboration with supervisors before implementation, fostering an environment for creative problem-solving.
MENTORSHIP AND SUPPORT:
The School of Engineering is committed to fostering an inclusive and supportive workplace through mentorship, promoting teamwork through regular collaboration, and a culture of respect. Students will be primarily supervised by the Project Manager, Programs and Strategy and co-supervised by the Professional Development Officer. Regular meetings with supervisors and weekly collaborative sessions will provide consistent guidance, foster teamwork, and support event organization and projects. Ongoing, two-way feedback tailored to the students’ communication preferences will ensure open and productive discussions, with preferences established during orientation and revisited as needed. Regularly scheduled meetings, professional development opportunities, and industry inspired performance reviews will provide the student with additional mentorship and prepare them for the transition from Engineering student to full-time work as an Engineer in Training and eventually as a Professional Engineer. A dedicated Microsoft Teams workspace will facilitate communication, collaboration, file sharing, and access to professional development opportunities. Professional Development Plans and event and project planning documents will guide students through their projects, with clear criteria for success outlined in documentation and discussed in the weekly meetings. Supervisors will encourage students to seek guidance between meetings through their preferred communication methods and reflect on their workload during project shifts or high academic workload periods. Should concerns arise regarding a student’s ability to maintain a healthy school/life/work balance the student's supervisor is well-versed in all UBC student and employee supports services and will uphold the priority that the student’s health and wellness are what matters most.

The Student Experience Coordinator plays a pivotal role in advancing STEAM literacy, promoting higher education, and representing UBC Engineering through events that span the campus, institution, and broader engineering community. The student will promote inclusivity and representation by designing recruitment events that attract and support diverse student populations. These events will emphasize pathways to engineering and post-secondary education, ensuring that all youth feel welcomed and supported in pursuing higher education. The prospective student experience responsibilities align with the UBC Strategic Direction Nurture a Strong and Vibrant UBC Community by fostering an inclusive, student-led approach to recruitment/outreach and current student events and improving the student experience. The undergraduate student experience responsibilities align with Enhance Experiential Education UBC Strategic Direction through improving the student experiential learning experience and providing networking and mentorship opportunities to reconnect and engage with UBC Alumni. The outcomes of these outreach and current student initiatives will be communicated across the campus community via partnerships, communication channels, and outreach platforms. These efforts aim to create a culture of inclusivity, supporting a diverse student body and enriching the campus environment.
