Administrative Assistant, Operations
Salary: $46,512 to $55,224 per year

Qualifications:
- Office or Business Administration Certificate
- Minimum two (2) years progressively responsible office administration experience
- Strong computer skills and experience should include Microsoft Office Suite
- Experience working in a fast-paced environment
- Strong customer service skills
- Valid Class 5 Driver’s License
- Knowledge of Insurance Industry, preferably as insurance associate
- A clean vulnerable sector criminal record check prior to commencement
- A combination of education, training and experience may be considered

Nature and Scope of Work:
Reporting to the Manager, Facilities, Maintenance & Operations, this position is responsible for coordinating daily office operations, supporting financial and procurement processes, maintaining records, and assisting with contracts, leasing, and insurance administration. The Administrative Assistant acts as a key point of contact for staff, students, vendors, and the public, requiring strong organizational, communication, and customer service skills. The position operates in a fast-paced environment and requires the ability to manage multiple priorities while maintaining accuracy, confidentiality, and compliance with college policies and procedures.
Duties and Responsibilities:
Reception and Front‑Line Support
- Direct calls to the appropriate staff (must familiarize and understand duties of others in the College)
- Answer basic inquiries from staff, students, sponsors and the public through in person interactions, on the phone or by e-mail
- Sort and properly distribute the incoming and outgoing mail
Administrative and Office Operations
- Acquisition of supplies for program areas including preparing the purchase orders and ordering of supplies
- Keeping an inventory of basic office supplies
- Properly code invoices for signature
- Filing information in a manner consistent with the College Records Management procedures
- Ensure confidentiality of all documents.
- Operate and maintain the office equipment including but not limited to fax, photocopier, scanner, telephone via Teams, and printer
- Produce word processing, spreadsheet and database documents for the Director and program areas
- Represent the Facilities area at meetings such as the Workflow meetings and committee meetings
- Record and distribute minutes from meetings (meeting for staff and those required by the Senior Director)
- Maintain service records for the vehicles in the department
Financial, Contract, and Leasing Administration
- Liaison with Finance department to reconcile invoicing issues
- Contracts: negotiating, execution, renewals, and progress inspections/verifications
- Leasing: filing, renewals, negotiations, and execution
- Insurance; completing application, updating as required, certificate of Insurance, financial coding and verify coverage prior to invoice payment, ensuring all documents are distributed such as liability cards
Facilities and Housing Support
- Provide direction/support to Housing Administrators
- Other duties as required from time to time. This would include, but not be limited to, covering off on the Facilities Helpdesk, Resident check in‑out, report preparation, room/space booking
Skills/Knowledge:
- Time management skills
- Good computer knowledge, especially Microsoft Office Suite including Outlook
- Keyboarding skills of 40+ wpm
- Excellent communication skills, both verbal and written
- Good proofreading skills
- Knowledge of purchasing procedures
- Knowledge of college, polies, procedures, and regulations
