CONVEYANCER & REAL ESTATE LEGAL ASSISTANT
Edmonton, Alberta | Full-time, Permanent | In person
Prowse Barrette LLP
Overview
At Prowse Barrette LLP, we believe a law firm should be more than just a place to work. It should be a place where talented people feel supported, valued, and able to do their best work. Our team lives our core values every day: embracing challenges, being creative, nurturing curiosity, and looking after each other.
We are an established and growing mid-sized firm in downtown Edmonton. As our real estate practice continues to develop, we are excited to welcome a Conveyancer & Real Estate Legal Assistant who is motivated, takes pride in producing excellent work, and thrives in an environment where high standards are paired with genuine support.
This is a full-time role with real estate as the primary focus. If you enjoy keeping transactions moving, solving problems, and contributing to a strong team, you will feel right at home here. We are looking for someone who can manage competing deadlines, think on their feet, and provide dependable support across residential and commercial real estate, financing matters, and post-closing reporting. During slower real estate periods, the successful candidate may also assist other areas of the firm based on their experience and firm needs. If you are proactive, adaptable, and want a role where your contributions are recognized and valued, we would love to connect.
Key Responsibilities
· Manage residential purchase, sale, refinance, and transfer files from opening through closing and final reporting.
· Assist with commercial real estate transactions and commercial lending matters.
· Prepare, draft, review, and organize purchase, sale, mortgage, financing, and Land Titles documentation.
· Review title searches, registrations, lender instructions, trust conditions, undertakings, and closing requirements.
· Coordinate with clients, lawyers, lenders, realtors, financial institutions, Land Titles, and other parties to keep transactions moving forward.
· Coordinate funding, registrations, payouts, disbursements, and mortgage discharge follow-up.
· Prepare interim and final reports to clients and lenders, including supporting documentation and trust reconciliations.
· Monitor deadlines, outstanding conditions, registrations, and post-closing commitments.
· Maintain accurate, organized electronic files, tracking systems, and practice management records.
· Assist with reporting backlogs, file cleanup, precedents, and process improvements.
· Provide reliable backup coverage within the Real Estate team and support other practice areas when capacity permits.
Qualifications & Experience
· Legal Assistant or Paralegal diploma/certificate, or an equivalent combination of education and relevant legal experience.
· Recent experience with residential conveyancing is strongly preferred.
· Experience with commercial real estate, banking, mortgage administration, commercial lending, insolvency, or related legal work is an asset.
· Working knowledge of Alberta real estate transactions and Land Titles processes.
· Ability to understand and apply lender instructions while recognizing when questions or issues require lawyer review.
· Strong organizational, time-management, proofreading, and file-management skills.
· Ability to work independently, adapt quickly, manage volume, and prioritize competing deadlines.
· Professional communication skills and a strong commitment to client service and confidentiality.
· Intermediate to advanced Microsoft Office skills; experience with CLIO or other legal practice management software is an asset.
