Job Summary

We are seeking a detail-oriented and organized Bookkeeping & Administrative Coordinator to join our team. This role is vital in maintaining accurate financial records, providing exceptional administrative support, and ensuring smooth office operations. The ideal candidate will possess strong computer skills, experience with bookkeeping software, and excellent customer service abilities. This position offers an opportunity to work in a professional environment where attention to detail and organizational skills are highly valued.

Responsibilities

Accounting

Manage and maintain financial records using QuickBooks and other accounting software
Perform data entry for invoices, payments, and expense reports with accuracy and efficiency
Handle accounts payable, including processing payments and maintaining vendor communication
Issue customer invoices and follow up to ensure timely collection
Support payroll processes, including time tracking, employee onboarding documentation and responding to employee inquiries
Manage expense processing software for expense processing and supporting-document gathering
Handle ad hoc accounting requests as they arise

Administrative & Rental Coordination

Provide responsive, direct administrative support to C-suite leadership
Prepare quotes for clients
Provide administrative support including filing, document proofreading, and record keeping
Answer multi-line phone systems with professionalism and courtesy, providing excellent customer support
Greet visitors at the front desk and assist with scheduling appointments
Maintain organized files both digitally and physically
Support office operations by managing correspondence, emails, and calendar appointments
Ensure office supplies are stocked and equipment is functioning properly

Skills & Qualifications

Proficiency in QuickBooks and Microsoft Office Suite (Word, Excel, Outlook)
Strong computer skills including data entry, Google Workspace applications, and general office technology
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
3 to 5 years bookkeeping experience required
Knowledge of front desk operations, multi-line phone systems, and phone etiquette
Customer service experience with a friendly and professional demeanor
Ability to handle confidential information discreetly and maintain professionalism at all times
Strong problem-solving skills, ability to research and resolve issues independently
Exceptional typing speed with high accuracy; strong proofreading skills
Valid driver's licence and access to a vehicle required, as the role may occasionally involve offsite tasks such as errands or deliveries

This role is essential for ensuring the efficient operation of our office while providing outstanding support to clients and team members. We value candidates who are proactive, detail-oriented, and committed to delivering excellent service.

Pay: $55,000.00-$60,000.00 per year
