Description
Position Summary
Provides administrative and operational support to the organization through the coordination of staffing and scheduling processes, payroll administration, and inventory and supply management. Supports the efficient functioning of clinical and non-clinical departments by maintaining accurate records, facilitating communication, and ensuring resources are available to meet organizational and patient care needs.
Position Relationships
Reports to the Scheduling Supervisor. Works as a member of the health care team ensuring co-ordination of clerical and materials management functions for the organization.
Duties:
- Coordinate and maintain staff schedules in accordance with operational requirements, organizational policies, and applicable collective agreements.
- Support staffing and scheduling activities, including shift coverage, staff call-ins, schedule changes, and vacancy management.
- Maintain accurate attendance, scheduling, and payroll records and assist with payroll-related processes.
- Prepare and distribute schedules, assignments, reports, and other departmental documentation.
- Monitor inventory levels, order supplies, receive deliveries, and maintain appropriate stock levels within assigned departments.
- Coordinate with procurement and other departments to facilitate the ordering and management of stock and non-stock items.
- Provide clerical and administrative support to clinical and non-clinical teams.
- Respond to inquiries and direct patients, visitors, staff, and external partners appropriately and professionally.
- Maintain confidentiality and safeguard personal health information in accordance with privacy legislation and organizational policies.
- Support safe and efficient patient care by ensuring required supplies, equipment, and administrative resources are available.
- Participate in quality improvement initiatives and support departmental process and workflow enhancements.
- Demonstrate an understanding of and commitment to the mission, vision, values, and strategic priorities of Deep River and District Health.
- Other duties may be assigned and may not be limited to the scope of an individual department.
Qualifications:
- Completion of an Office Administration program or equivalent.
- Experience with electronic scheduling systems and payroll data entry.
- Previous clerical experience in a healthcare setting preferred.
- Proficient in MS Office (MS Outlook, MS Excel, and MS Word, in particular).
- Initiative, sound judgment and attention to detail.
- Strong organizational and communication skills, effectively prioritizing tasks to produce high-quality work within deadlines while remaining adaptable and flexible.
- Ability to work well with others in a team approach and adapt to changing situations required.
- Ability to maintain staff, patient and resident confidentiality.
- Exceptional Attendance required.
- Must agree to adhere to DRDH standards of behaviour.
