PROGRAM: Counselling and Victim Services – Dawson Creek
REPORTS TO: Department Manager
JOB SUMMARY:
The Program Coordinator will:
- provide coordination and administrative support for the day-to-day activities of the Counselling and Victim Services department in Dawson Creek;
- support department staff with timesheets, data collection, resources, training and program administration;
- act as a first point of contact for staff questions and case consultation, and provide coverage support during the Department Manager's absences; and
- participate in program development, policies and procedures, and program evaluation.
QUALIFICATIONS:
The Program Coordinator will have:
- a diploma in a related human/social service or Administration field;
- two years recent, related experience, including one year of supervision or administration experience; or
- an equivalent combination of education, training and experience.

RESPONSIBILITIES:
The Program Coordinator will:
Data Collection
- Coordinate department data collection, including sending email reminders to staff, ensuring data is completed and submitted, and inputting data into the online portal.
- Input and format year-end data reports for all department programming.
Resource Ordering and Reconciliation
- Meet with staff to identify resource needs and gaps; research options and present recommendations to Management for direction and approval.
- Complete resource ordering and reconciliation for the department across all communities (Dawson Creek, Tumbler Ridge and Chetwynd).
- Maintain and organize department resources within Dawson Creek (e.g., kindness bags, client handouts, Christmas hampers, journals).
Training Support
- Identify staff training needs and gaps; research identified or requested training and present to Management for approval.
- Assist staff with booking travel, reviewing related policies and forms, and ensuring documentation is submitted and travel is booked correctly.
- Provide first-line support for staff questions related to ShareVision, Comvida, Outlook and other systems, working directly with administrative staff as needed.
Staff Support
- Provide coverage support during the Department Manager's absences (e.g., sick leave, vacation).
- Prepare staff meeting agenda items, take minutes and share information with staff; chair staff meetings in Management's absence.
- Act as a first point of contact for case consultation.
- Support staff in the planning and execution of community awareness activities.
Administrative Support
- Assist the Department Manager with administrative tasks and staff meetings.
- Review and verify timesheets entered into Comvida by Dawson Creek team members, confirming accuracy and completeness prior to payroll deadlines.
- Aid in the preparation of year-end reports.
- Develop and maintain program handbooks.
- Set up and prepare for community meetings.
- Any other related duties as assigned by the Department Manager.
HOURS OF WORK: 24–28 hours per week, flexible to the program
RATE OF PAY: $35.82, As per the Collective Agreement
