About the Position

We are looking for an organized, dependable, and proactive Administrative Coordinator to join our growing commercial cleaning company.

This is a fast-paced, hands-on administrative role that supports the daily operations of our cleaning teams, supervisors, clients, and management. The successful candidate must be comfortable working in an environment where priorities can change quickly and where strong communication, follow-up, and problem-solving are essential.

Commercial cleaning is not strictly a Monday-to-Friday, 9:00 a.m. to 5:00 p.m. industry. Many of our clients operate during evenings, overnight periods, weekends, and holidays. While this position will have established regular hours, up to two days per week may require an adjusted shift of approximately 11:00 a.m. to 7:00 p.m. to provide additional operational support during later hours.

Occasional flexibility outside of the regular schedule may also be required for urgent staffing matters, client concerns, new site start-ups, or other operational needs.

Key Responsibilities

The Administrative Coordinator will assist with the day-to-day administrative and operational needs of the company, including:

Answering and responding to emails, telephone calls, and general inquiries.
Communicating professionally with clients, employees, subcontractors, supervisors, and management.
Assisting with employee and subcontractor scheduling.
Updating schedules for call-ins, vacations, site changes, and coverage requirements.
Coordinating and supporting new client and site start-ups.
Ensuring required employee and subcontractor documentation is received and maintained.
Maintaining accurate electronic files, records, and operational information.
Monitoring employee and subcontractor timekeeping and attendance systems.
Following up on missed clock-ins, incomplete records, attendance concerns, and scheduling discrepancies.
Preparing and updating site information, scopes of work, cleaning checklists, and operational documents.
Receiving client concerns and ensuring they are communicated to the appropriate supervisor or manager.
Following up with staff regarding cleaning deficiencies and required corrective actions.
Assisting with cleaning supply and equipment coordination.
Supporting payroll and accounting administration by ensuring submitted information is complete and accurate.
Assisting supervisors and management with daily operational requirements.
Maintaining confidentiality regarding employees, subcontractors, clients, and company information.
Completing additional administrative and operational duties as required.

Schedule & Availability

This position will have established regular working hours; however, flexibility is an important part of the role due to the nature of the commercial cleaning industry.

Candidates must be comfortable with:

Working approximately 11:00 a.m. to 7:00 p.m. up to two days per week, as scheduled based on operational needs.
Occasional earlier starts or later finishes.
Occasional evening communication or operational support.
Assisting with new site launches or transitions.
Responding to urgent staffing or client situations when required.
Occasional weekend or holiday support depending on business needs.
Additional hours during particularly busy operational periods.

Schedule adjustments will be communicated as reasonably far in advance as possible.

Qualifications

The ideal candidate will:

Have previous administrative experience, preferably within a fast-paced or service-based business.
Be an exceptional multitasker who can manage multiple priorities, requests, and deadlines at the same time.
Be a self-starter who takes initiative and does not require direction for every task.
Be able to identify what needs to be completed, prioritize appropriately, and follow through.
Be proactive in identifying potential problems before they become larger operational issues.
Be comfortable working in an environment where schedules and priorities may change throughout the day.
Have strong organizational and time-management skills.
Demonstrate excellent attention to detail and accuracy.
Have strong problem-solving and decision-making skills.
Be dependable, accountable, and comfortable working independently.
Have excellent written and verbal communication skills.
Be confident communicating with clients, employees, subcontractors, supervisors, and management.
Be comfortable following up when information, documentation, or action is required.
Understand the importance of urgency when dealing with staffing concerns, client issues, and operational matters.
Remain calm, professional, and organized while managing several issues at once.
Have strong computer skills, including Microsoft Outlook, Word, and Excel.
Be willing and able to learn company software, scheduling platforms, timekeeping systems, and cleaning-management applications.
Understand that commercial cleaning operates outside traditional office hours and be flexible when reasonable schedule adjustments are required.

Experience in commercial cleaning, facilities management, property management, staffing, scheduling, or another service-based industry would be considered an asset.
