Position Summary:
The MarCom Assistant provides graphic design, digital communications, social media and administrative support for NEW’s marketing and communications activities.
Working closely with the Communications and Social Media Specialist and other program teams, the Assistant helps create and prepare visual and digital materials that promote NEW’s programs, services, events and organizational activities.
The position is primarily responsible for the production and execution of communications and design materials based on established organizational branding, communications plans and direction. This includes creating flyers, social media graphics, presentations, program materials, digital content and other promotional resources; assisting with social media and website updates; and supporting communications for events and campaigns.
Key Responsibilities
Graphic Design & Creative Support
- Design and produce flyers, posters, brochures, program materials, invitations, social media graphics, signage and other promotional materials.
- Create visual materials for NEW programs, workshops, events, campaigns and community activities using established brand guidelines and templates.
- Assist with the design and formatting of reports, presentations, newsletters, information packages and other organizational materials.
- Create and adapt graphics for different digital and print formats.
- Resize, edit and prepare images and graphics for websites, social media, newsletters and other platforms.
- Support the development and maintenance of branded templates for commonly used communications materials.
- Make revisions to existing designs based on feedback from the Communications Specialist, Manager or program staff.
- Coordinate basic preparation of files for printing and digital distribution.
- Help ensure that communications and promotional materials are visually consistent with NEW’s established brand.
Social Media & Digital Communications
- Assist with preparing and posting approved content to NEW’s social media platforms.
- Create social media graphics, posts, reels, stories and other basic digital content.
- Assist with maintaining the organizational social media content calendar.
- Schedule approved social media posts using designated platforms and tools.
- Support the creation and editing of basic photo and video content for social media.
- Monitor social media platforms and identify inquiries, comments or messages requiring staff follow-up.
- Assist with collecting basic social media engagement information and statistics.
- Maintain organized files of social media graphics, photographs, videos and other digital assets.
Website & Email Communications
- Assist with routine website updates, including program information, events, images, banners and other approved content.
- Upload and format approved website content.
- Assist with preparing and formatting organizational newsletters and email communications.
- Create graphics and visual content for newsletters, email campaigns and website pages.
- Support maintenance of program and event calendars on the website and other digital platforms.
- Check website pages and digital communications for outdated information, broken links or formatting issues and flag them for correction.
Program & Organizational Communications Support
- Work with program staff to prepare approved promotional materials for programs, workshops and services.
- Assist in creating program calendars, event promotions and client-facing information materials.
- Support the preparation and formatting of PowerPoint presentations, program reports, annual reports and other organizational materials.
- Assist with collecting photographs, testimonials, program highlights and other content from programs for communications purposes.
- Organize and maintain digital communication files, photographs, graphics, templates and other marketing assets.
- Ensure appropriate approvals are received before materials are published or distributed.
Events & Campaign Support
- Prepare graphics, signage, digital displays, presentation slides and promotional materials for events.
- Assist with communications and promotional activities related to workshops, community events, fundraising campaigns and organizational initiatives.
- Support photography and basic video recording at events as required.
- Assist with event-related social media content before, during and after events.
- Support the preparation of event registration and promotional materials.
- Assist with communications-related event set-up and other activities as required.
Administrative & Production Support
- Maintain organized electronic files of communications and graphic-design materials.
- Assist with coordinating print orders and promotional materials.
- Maintain basic inventories of communications and promotional materials.
- Track requests for graphic design and communications support and assist with completing assigned requests within established timelines.
- Proofread materials for basic spelling, formatting and consistency before review and approval.
- Provide general administrative support for marketing and communications activities.
- Perform other related duties as assigned.
Minimum Requirements
- College diploma, certificate or relevant training in graphic design, digital media, marketing, communications or a related field, or an equivalent combination of education and relevant experience.
- Approximately one year of relevant experience in graphic design, digital communications, marketing, social media or a related area is preferred.
- Demonstrated ability to create professional and visually appealing digital and print materials.
- A portfolio or examples of graphic design or digital communications work may be requested.
- Working knowledge of Canva is required.
- Experience with Adobe Creative Suite applications such as Illustrator, InDesign and Photoshop is an asset.
- Experience with social media platforms including Instagram, Facebook, LinkedIn and other digital platforms.
- Experience with website content management systems, Mailchimp or social media scheduling tools is an asset.
- Basic photography and video editing skills are an asset.
- Strong attention to detail and visual presentation.
- Good written and verbal communication skills.
- Ability to follow established branding and communications guidelines.
- Strong organizational and time-management skills with the ability to manage multiple assignments and deadlines.
- Ability to receive feedback and make design or content revisions as required.
- Ability to work collaboratively with staff across different programs and departments.
- Understanding of newcomer-serving, nonprofit or community organizations is an asset.
Working Conditions
This position may require travel to other NEW locations and community events.
The position may occasionally require work outside regular operating hours, including evenings or weekends, to support organizational events and communications activities.
