Position Overview
We are looking for an organized, dependable, and personable Office Manager / Bookkeeper to join our growing business.
This is a hands-on position that combines bookkeeping and administrative responsibilities. The successful candidate will have previous office experience, be comfortable working independently, and be able to manage a variety of tasks while keeping day-to-day office operations organized and on track.
As our office and business continue to develop, we are looking for someone who is willing to take initiative, think on their feet, solve problems, and help establish efficient systems and processes as we grow.
Key Responsibilities
Bookkeeping & Payroll
- Maintain accurate and up-to-date bookkeeping records using Sage 50
- Process accounts payable and accounts receivable
- Present due bills and plan weekly EFT payments
- Complete monthly bank reconciliations
- Process biweekly payroll accurately and on time
- Complete required payroll remittances and ensure deadlines are met
- Monitor financial transactions and identify and resolve discrepancies
- Communicate with the company's accountant regarding bookkeeping, payroll, year-end requirements, and any information or documentation needed in a timely manner
- Maintain organized financial records and documentation
Office Administration
- Manage the day-to-day administrative needs of the office
- Monitor and respond to office emails and ensure messages and requests are followed up on appropriately
- Collect and sort mail on a weekly basis
- Maintain organized office files, records, and documentation
- Assist with scheduling, correspondence, and general administrative tasks
- Support management and team members with administrative needs
- Help develop and maintain organized office procedures and systems as the business grows
General Responsibilities
- Manage multiple priorities and deadlines while maintaining accuracy
- Think on your feet and use good judgment when unexpected issues arise
- Identify problems and take initiative to find practical solutions
- Communicate professionally and effectively with staff, management, suppliers, and outside professionals
- Maintain confidentiality when handling financial, payroll, and employee information
- Work collaboratively as part of a team while also being comfortable working independently
Qualifications & Skills
- Previous experience in an office administration, bookkeeping, and/or office management position
- Strong organizational and time-management skills
- Working knowledge of Sage 50
- Working knowledge of Microsoft Outlook and general Microsoft Office applications
- Experience with payroll processing and payroll remittances
- Experience with bank reconciliations
- Understanding of bookkeeping and accounting principles
- Strong attention to detail and accuracy
- Excellent communication and interpersonal skills
- Personable, approachable, and comfortable working with a variety of people
- Strong problem-solving skills and the ability to think on your feet
- Ability to prioritize and move between different tasks throughout the day
- Reliable, self-motivated, and able to work independently
- Willingness to learn and adapt as the business and office continue to develop

Previous office experience is important, but just as important is finding someone who is a good team player, communicates well, takes initiative, and can be trusted to get the job done.
Pay: $28.00-$32.00 per hour
Expected hours: No less than 24.0 per week
